The Wellington Funds Group seeks an experienced Executive Assistant to support its President and the department. The role of the Executive Assistant is to leverage the managers' time through logistical coordination of the team's activities and needs and to act as the first point of contact for department leadership. The ideal candidate is committed to the administrative role and has demonstrated the ability to support and represent executive-level leaders with high reliability, mature professionalism and utmost discretion in a logistically intensive, public-facing, and data-rich environment.
Duties will include, but are not limited to:
Proactive calendar management for multiple, complex executives' calendars
Coordination of international travel itineraries and arrangements
Extensive logistical coordination of internal and external meetings with various constituencies
Diligent telephone coverage with gate-keeping expectations
Maintaining various departmental materials and presentations
Coordinating logistics for various departmental processes such as mid-year and year-end performance management cycles, onboarding and offboarding employees, expense approvals, etc.
Handling daily mail, managing file systems, maintaining distribution lists, submitting expense reporting, etc.
Other duties as assigned
Minimum of 3 years' experience within an administrative role in a professional services organization; undergraduate degree preferred
Advanced proficiency in MS Office (Word, Outlook, Excel & PowerPoint) with an ability and desire to learn new technology to drive efficiencies
Outstanding interpersonal and communication skills, plus high level of reliability, professionalism and discretion
Strong service orientation and proactive problem-solving skills
Excellent organizational, multi-tasking, and prioritization abilities
Strong detail-orientation and work quality
Ability to work under deadlines and to accommodate last-minute changes
Positive, can-do attitude; flexibility and sense of humor
