Position Summary:
The Executive Assistant provides high-quality administrative support to the Co-Chairman of Disney Entertainment while working in a dynamic, fast-paced environment. This office has two Executive Assistants that split the duties of the Co-Chairman's office.
Responsibilities:
Manage phone calls and messages
Coordinate and manage the Co-Chairman's calendar, including all meetings, appointments, events, and travel
Prioritize and organize schedules to optimize the Co-Chairman's time
Brief Co-Chairman ahead of all meetings and events
Arrange travel, meetings, and events by developing and maintaining checklists for accuracy
Maintain, organize, and monitor status of all important documents, files, and records
Arrange all travel and logistics, including payments, processing, and confirmation of all reservations
Ensure logistics and preparation for events are provided to the Co-Chairman in a timely and organized manner
Organize, prepare, and submit expense reports
Create presentations and decks as needed
Take notes during meetings and ensure accurate documentation
Liaise with executives, talent, and other assistants internally and externally
Represent the department in a professional manner
Exercise discretion in all interactions
Support departmental projects as needed
Support, collaborate and back-up second executive assistant in all aspects of management and organization of the office of the Co-Chairman
Requirements:
5+ years administrative experience supporting a senior level executive (Agency, Production or Studio environment preferred).
Demonstrated ability to work independently and proactively to solve problems
Ability to manage complex schedules, prioritize tasks and handle multiple responsibilities
Excellent communication skills, both written and verbal
Strong computer literacy and proficiency with office software and tools, including PowerPoint and Excel
Demonstrated ability to prioritize, meet deadlines, make decisions, and change course of action quickly
Detail oriented with the ability to work well and maintain professionalism under pressure
Ability to work with confidential information
Positive attitude and the ability to be proactive, resourceful, and flexible
Strong people skills, including the ability to work effectively as part of a team
Applies good instincts and judgement navigating complex situations and environments
Overtime as needed and approved
Must be able to work onsite, 5 days per week
The hiring range for this position in Burbank, CA is $84,500 to $113,300 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
