The Opportunity
Valvoline has a rewarding opportunity as an Executive Assistant. In this role, you will serve as a key point of contact for internal and external constituencies on matters pertaining to the executive. Completes a wide variety of administrative tasks that facilitate the executive's ability to effectively lead the department, including assisting with special projects; designing and producing complex documents, reports, and presentations; preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists and calendars; and making travel arrangements. Responsibilities can vary in complexity from routine to projects requiring significant analysis and material development. Planning, developing, and implementing department-wide and corporate events and meetings. Working closely with the manager to develop agendas, coordinate content, execute meetings, and assist with communications as needed.
This is a hybrid position based at Valvoline Headquarters in Lexington, KY, requiring in-office attendance at least three days per week.
How You'll Make a Difference
Provide support to the broader Real Estate and Construction as well as Company Store Operations departments by coordinating a calendar of annual processes/events and the portfolio of projects that are in process.
Assist executives and team with developing presentations, reports, digital tools, and communications.
Support executives through the management of their calendars.
Prepare expense reports and travel arrangements.
Perform office management duties such as space planning, coordinating conference rooms, ordering supplies and equipment, and approving payroll timesheets.
Assist the Real Estate and Construction as well as Company Store Operations team with various duties, as well as other ad hoc duties in support of communications and community involvement efforts.
Assist with management and tracking of department budget and expenses, including the processing of invoices.
What You'll Need to Succeed
Associate's degree (Bachelor's degree preferred)
Minimum of five years of experience performing complex administrative and/or office work
Minimum of one year supporting a leadership position; could supplement this experience with project management and/or communication roles
Strong verbal and written communication skills
Ability to manage multiple and changing priorities simultaneously
Competent with administrative processes
Attention to detail and high level of accuracy
Strong organizational skills
Proficient in Microsoft Office products and software (most notably Excel and PowerPoint)
Ability to prioritize and problem-solve
Must be authorized to work in the U.S.
