Performs as a generalist a combination of administrative tasks . May prepare budgeting, project scheduling, and statistical reports as required. Represents organizational unit on administrative matters , Recommends, interprets, and/or implements company and internal administrative policies and procedures.

ESSENTIAL DUTIES

Duties are listed in order of greatest importance. The incumbent may be asked to perform other function-related activities in addition to the below mentioned responsibilities as reasonably required by business needs.

Enter Responsibilities/Essential Duties

  • Be the first-line incoming telephone call to assigned executive

  • Organize meeting logistics and activities that will support the company priorities and objectives. Assist in the production of presentation materials. Distribute meeting materials as required. Plan ahead, confirm, initiate and coordinate

  • Process expense reports and reimbursements in a timely manner for executive(s)

  • When required, act as an intermediary between management staff

  • Coordinates schedule and travel

  • Draft correspondence, financial spreadsheets, presentations and meeting materials

  • Prepared the drafts of quality reports

  • Maintain the electronic and paper filing systems and calendars for the Office. Assure that files and calendars are easily accessible and up-to-date

SUPERVISORY RESPONSIBILITIES

Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, training and developing employees; planning, assigning and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
