Primary Purpose of Organizational Unit

The Cecil G. Sheps Center for Health Services Research seeks to improve the health of individuals, families, and populations by understanding the problems, issues, and alternatives in the design and delivery of health care services. This is accomplished through an interdisciplinary program of research, consultation, technical assistance, and training that focuses on timely and policy-relevant questions concerning the accessibility, adequacy, organization, cost, and effectiveness of health care services, and the dissemination of this information to policymakers and the general public.

Position Summary

The Executive Assistant (EA) reports directly to the Director of the North Carolina Institute of Medicine. The position provides individual executive support to the director, and manages the administrative operations of the office of the director, including but not limited to overseeing scheduling, meetings, events, and communications.

The EA will be involved in extensive high-level public contact that requires a keen awareness of protocol and cultural sensitivity. He/she must analyze, prioritize and track multiple complex schedules, confidential information, and multiple projects with attention to efficient facilitation of workflow, timeliness, accuracy and high-quality work in a fast-paced environment.

Responsibilities include planning and management of statewide meetings, calls, events, travel; internal and external communications, development of correspondence. The EA will serve as liaison with other agencies and stakeholders. He/she will anticipate, negotiate, and initiate actions for problem-solving. This position works with and supports the Director of Operations, in the completion of monthly and annual close-outs of the organization's financial records, reconciliation of revenue and expenses, and the filing of invoices and checks.

The EA will maintain collaborations with high-level individuals and members of the Board of Directors and state agencies with whom the department collaborates.

Minimum Education and Experience Requirements

High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

  • Must have the ability to manage highly sensitive, confidential, and time-sensitive information.

  • Requires initiative, critical thinking, and independent decision-making skills.

Preferred Qualifications, Competencies, and Experience

  • Must have excellent interpersonal skills.

  • Preference for candidates with experience in Salesforce data entry.

  • Experience that demonstrates the ability to prioritize and negotiate manager's needs regarding.

  • Experience that exhibits an awareness of internal and external constituents and organizations through which commitments must be coordinated.
