Primary Purpose of Organizational Unit

The mission of the School of Nursing is to enhance and improve the health and well-being of the people of North Carolina and the nation, and, as relevant and appropriate, the people of other nations, through its programs of education, research, and scholarship, and through clinical practice and community service. The University of North Carolina at Chapel Hill School of Nursing has been the leader in nursing education in North Carolina throughout its history.

Established in 1950, it was the first school of nursing in North Carolina to offer a four-year baccalaureate nursing degree program followed by the first master's degree program, the first continuing education program for nurses, first doctoral program, and first accelerated BSN option to students with college degrees. Today, the School is renowned for its academic programs, its research and its commitment to clinical and community service within state, national and global communities.

Position Summary

The individual in this position serves as the executive assistant to the Associate Dean for Administration (ADA). This position is the pivotal link with the Office of Administrative Service (OAS) to the Dean's Office, Office of Student Affairs, Clinical Support Division, and all administrative and academic divisions of the School. This position represents the Associate Dean across the School and is a key leader within the staff. Major responsibilities include:

  • Day-to-day operational activities of the OAS, to include supporting all meetings chaired by the ADA, and coordination of the ADA calendar

  • Preparation of accreditation, compliance, and other regulatory reporting requirements

  • Data management, analysis and reporting activities essential to the school's benchmarking and regulatory reporting requirements.

  • Manages the OAS data repositories

  • Manages budgets for the which the ADA is responsible

In addition, this position:

  • Supervises work study students and temp staff in OAS in support of faculty/staff requests

  • Coordinates the administrative support for the Appointment Promotion and Tenure (APT) and Appointment, Promotion and Review (APR) Committees

  • Coordinates other reports requested by the ADA

  • Manages special projects based in OAS

Minimum Education and Experience Requirements

High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Required Qualifications, Competencies, and Experience

Ability to multitask, flex and adjust to changing demands in a pivotal office in the School of Nursing. Ability to oversee and coordinate a variety of support services for the academic mission of the School of Nursing.

The highest level of accuracy is mandated with regard to all aspects of this position. He/she must possess strong oral and written communication skills, as well as the ability to independently prioritize work to meet deadlines. Excellent organizational and customer service skills are required, as is strong attention to detail.

The successful candidate should demonstrate the ability to work as a team member, as well as interact with faculty, staff, students, and other university personnel and others outside the University. This position requires the ability to interpret university policies and procedures to facilitate the efficient management of a variety of records functions and must manage records to ensure accuracy, completeness and proper archival storage. This position requires the ability to anticipate, assess and resolve any and all problems that arise in the business operations.

This position requires the ability to communicate effectively in both written and verbal forms to a variety of audiences on a wide range of subjects. This is an essential component of the position's responsibilities because it supports the Associate Dean for Administration (ADA) and serves as a liaison between other Divisions, the School and the University. The employee should have the knowledge or the ability to obtain knowledge related to an academic affairs environment including the ability and skills to manage projects, research and analyze data, interpret findings, and implement findings.

The employee should possess strong interpersonal skills that facilitate positive interactions with administrators, faculty, staff, and students. Critical thinking skills are necessary to carry out the tasks outlined above. Must be skilled in Microsoft Office Suite including Planner.

Preferred Qualifications, Competencies, and Experience

Prior supervisory and management skills are preferred.
