Position Overview

We are seeking a high energy, self-starter to provide critical administrative support to our Human Resources organization. The ideal candidate will exhibit a positive can-do attitude, sound decision-making and problem solving skills. You will be working in a complex environment with a demanding workload, dealing with confidential information, so you must be able to work to deadlines and have the ability to assimilate written and verbal communication. This role will primarily act as an executive assistant to the department's executive leaders, but will also have other department wide responsibilities. Specific responsibilities for this position include:

Specific responsibilities for this position include:

  • Maintain schedules for meetings, conferences, and departmental events while anticipating conflicts and solving any scheduling issues

  • Schedule domestic and international travel arrangements, completing detailed meeting and travel itineraries and monitor and complete expense reports in a timely and efficient manner

  • Receive and deal with telephone calls professionally, re-directing or taking messages and using initiative to deal with inquiries

  • Invoice processing to include tracking through payment and closure

  • Organize meetings and events. This will include preparing agendas, pre-meeting briefings and meeting papers, room bookings, conference facilities, venues, collating and distributing meeting materials

  • Design and create effective, dynamic and well thought out presentations using PowerPoint.

  • Create, format and consolidate slides for management presentations.

  • Project Management support to include task tracking, follow-ups and seeing items through to closure

  • Analyze complex information requests with the utmost confidentiality and professionalism

  • Interface with all levels of the organization and with external customers in a professional and effective manner

  • Other administrative support and special projects as required


  • AA/AS degree

  • Technical/Business School Certificate or Diploma, Skilled Trades Apprenticeship, or other post high school training (two years duration) with minimum of 5 years of experience considered


  • 5-7+ years of administrative experience at a senior level in a medium to large corporate environment

  • Flexible and adaptable in dealing with changing priorities and tasks

  • Experience coordinating company or customer events

  • Outstanding communication skills at all levels of the organization

  • Ability to handle confidential information and work in a fast-paced environment

  • Attention to detail

  • Able to multi-task on a variety of assignments

  • Must be self-motivated and have the ability to exercise initiative and work independently

  • Advanced computer skills in Microsoft Office suite including Outlook, PowerPoint, Word, and Excel
