Duties

The Executive Assistant to the Superintendent is responsible for training of school secretaries, management of grant reports, drafting all board documents, and assisting from time-to-time Human Resources with administrative responsibilities. This position will require occasional work in the evenings and on weekends. This role involves managing communication strategies, media relations, and ensuring a positive public image for the Superintendent and the school district.

  • Media Relations:

  • Serve as the primary point of contact for media inquiries and requests.

  • Develop and maintain positive relationships with local and regional media outlets.

  • Draft press releases, statements, and responses on behalf of the Superintendent.

  • Communication Strategy:

  • Develop and implement effective communication strategies to enhance the Superintendent's public image.

  • Collaborate with the Superintendent to ensure consistent messaging across various platforms.

  • Social Media Management:

  • Oversee the Superintendent's social media accounts, ensuring content is engaging, accurate, and aligned with the district's goals.

  • Monitor social media trends and sentiment related to the school district.

  • Content Creation:

  • Create compelling content for various mediums, including press releases, newsletters, and website updates.

  • Work with graphic designers and multimedia specialists to produce visually appealing materials.

  • Event Publicity:

  • Publicize school events through appropriate channels to maximize attendance and community engagement.

  • Coordinate with local media for coverage of significant events.

  • Media Monitoring:

  • Monitor media coverage and public perception, providing regular updates to the Superintendent.

  • Address any inaccuracies or misconceptions through strategic communication.

  • Maintain confidentiality.

  • Maintain and/or create filing systems.

  • Serve as Recording Board Secretary for the District and perform all recording secretarial functions including:

  • Drafting board packets, agendas, and board briefs;

  • Scheduling meetings, conferences, and training for board members;

  • Managing the board calendar;

  • Maintaining board files;

  • Facilitating monthly board meetings;

  • Taking and transcribing minutes of all meetings;

  • Updating board policies;

  • Perform duties with an awareness of Illinois State Board of Education mandates, Board of Education policies, and district requirements.

  • Foster and maintain positive and effective working relationships with teachers, administrators, support staff, district staff, students, parents, and the community.

  • Meet deadlines with time constraints.

  • Efficiently make independent decisions within established rules that address immediate organizational needs.

  • Construct letters and multi-page documents as requested; Transcribe audio tape and develop minutes for publication.

  • Communicate directly, effectively, and accurately with Superintendent, Board of Education, and other organization members regarding specific priority information.

  • Other duties as assigned.

Qualifications

  • Proven experience in media relations, public relations, or a related field.

  • Excellent written and verbal communication skills.

  • Strong understanding of social media platforms and trends.

  • Crisis communication experience is a plus.

  • Ability to work under pressure and meet tight deadlines.

Additional Notes

This is a 12-month administrative professional position at the Administration Center that has (including but not limited to) human resources, supervisory, communications, clerical, and visibility expectations including evening Board meetings and committees. Prior experience in a position reporting to an executive professional and/or at a school district office or equivalent setting is preferred.
