Job Summary

The Executive Assistant to the Senior Vice President for Academic & Student Affairs/Provost is responsible for a broad range of professional-level, confidential, administrative duties in support of the Senior Vice President/Provost and the Academic & Student Affairs division's leadership team.

This position is responsible for the day-to-day administrative tasks to support the Provost, and also collaborates with departments within the division, other divisions throughout the institution, and external entities as required. The position performs a broad range of professional staff and communications functions to support the Provost's priorities and responsibilities.

Responsibilities

Assists the Provost's preparation for meetings and events, including preparing speeches, remarks, and presentations

Communicates on behalf of the Provost with internal and external constituencies, including community and professional organization leaders

3 -

Works under the direction of the Provost to facilitate the daily operations of the ASA division; Assists the Provost in a wide variety of areas to meet challenging deadlines

Collaborates with other administrative office staff in the Provost's Office; Assists in special event planning/coordination and campus-wide scheduling as needed

Manages the Provost's calendar, prepares meeting agendas, takes minutes, distributes follow up items, schedules appointments, answers phone calls and emails, and prepares and distributes correspondence and communication as directed; drafts, distributes, and updates the annual Academic Affairs calendar

Serves as the website content manager for Academic Affairs, makes regular updates

Maintains confidential records and files in support of the Provost's correspondence and activities

Performs other duties as assigned

Required Qualifications

4 Year / Bachelor's Degree from an accredited college or university

5+ years relevant administrative experience

Preferred Qualifications

Administrative experience within Higher Education/collegiate setting

Knowledge, Skills, & Abilities

Skills in various computer programs including MS Word, Excel, and PowerPoint
