As the Executive Assistant to the President & Chief Executive Officer (CEO) at Valley-Wide Health Systems, you'll play a pivotal role in providing high-level administrative support to the CEO and other members of the Executive Leadership Team. In this dynamic position, you'll serve as the primary point of contact for both internal and external stakeholders, ensuring smooth communication and efficient operations at the highest level. You will also act as a liaison to the Board of Directors, oversee special projects, and contribute to key initiatives that drive the success of our healthcare organization.

Essential duties and responsibilities: Incumbent will complete a broad variety of administrative tasks for the CEO, including: Managing an active calendar of appointments, ensuring that CEO's schedule is followed and respected.
Arranging complex and detailed travel plans for the CEO, executives, and board members. Compiling documents for travel-related meetings. Ensuring that CEO is able to attend and be prepared for all meetings.
Communicate on behalf of the CEO with Board members, donors, and others. Research, prioritize and follow up on incoming issues and concerns addressed to CEO, including those of a sensitive and confidential nature. Provide leadership to build relationships crucial to the success of the organization, and manage special projects for the CEO, often with tight deadlines.
Adhere to all rules and regulations in bylaws around board communication and committee matters. Attend meetings, take minutes, and provide agendas, documentation, and technical support for CEO, Executive Leadership Team, and at Board meetings. Assist in coordinating the agenda of the Executive Leadership Team and board meetings, as well as all-staff meetings, and any other meeting needing support per the CEO.
Work with Innovation and Strategy team as well as the Marketing team to coordinate the CEO's outreach activities. Prepare first drafts and edit letters and communications from the CEO, including to strategic contacts, board members, community, staff, and external stakeholders. Plan and coordinate company events, as needed.
Prepare reports for CEO analysis. Other duties may be assigned as necessary. Supervise front desk personnel and create schedule for coverage.
