JOB TITLE: Executive Assistant to the President DIVISION: Office of the President
SUPERVISOR'S TITLE: Chief of Staff DEPARTMENT: President's Office
BASIC FUNCTIONS:
The Executive Assistant works closely with the President and provides executive level coordination of the immediate Office of the President. Ensures that matters requiring the attention and participation of the President are addressed in coordination with the Chief of Staff. Secures the signature of the President on required documents and ensures that all such documents are error free. Performs a variety of responsible and confidential secretarial, technical, and administrative functions. Highly proficient in the suite of Microsoft Office software.
NATURE AND SCOPE
The incumbent interacts daily with the President, office staff, Members of the Board of Trustees, the Deans, College faculty, staff, and students. External contacts include senior-level corporate foundations and associations, alumni, and other liaisons with the President to facilitate the cultivation and maintenance of relations with these entities.
PRINCIPAL ACCOUNTABILITY
Responsible for oversight of the President's schedule. Assists with preparation and/or ensures timely submission of briefing materials and relevant correspondence/documents for the President's appointments and meetings.
Assists the President in the timely management of all communications, both written and verbal with a variety of constituents; monitors follow up with all distributions that require answers, responses and written replies.
Establishes excellent working relationships with key stakeholders, including Vice Presidents, the President's office, and other key College administrative offices.
Develops a good understanding of current issues and provide related timely advice to the President.
Organizes and prioritizes Presidential priority issues and required information for the President to facilitate efficient decision making.
Prepares and/or contributes to the preparation of reports, briefings, and presentations for the President.
Other duties as assigned by the President and/or Chief of Staff.

MINIMUM TRAINING AND EXPERIENCE:
An Associate's degree (or equivalent workforce experience and/or working towards completing AA degree) from an accredited College or university in business administration, higher education, public sector administration, public policy, or other related field
Have a minimum of 5-7 years of progressively responsible administrative experience, which includes at least two years of supervisory experience; or an equivalent combination of relevant education and experience
Ability to work collaboratively with members of the President's office and Cabinet to align the President's priorities
Organizational skills to set goals, prioritize assignments, monitor performance, and exceed set deadlines
Strong oral and written communication skills with experience creating and delivering presentations to small and large diverse groups
