The Executive Assistant to the Office of the CEO assists the Manager, Office of the CEO with daily tasks and projects. The successful candidate thrives in a fast-paced environment and is in their comfort zone reacting and shifting priorities quickly while providing a calm demeanor and delivering excellent customer service with confidence.

Essential duties and responsibilities include the following. Other duties may be assigned.

  • Answer incoming telephone calls to CEO's office.

  • Prepare correspondence as directed by Manager, Office of the CEO.

  • Review email correspondence sent to Manager, Office of the CEO and handle as directed.

  • Schedule meetings as directed by Manager, Office of the CEO.

  • Arrange travel for CEO, or any other person as directed.

  • Prepare expense reports for CEO.

  • Open and sort all incoming mail to CEO and Manager, Office of the CEO.

  • Schedule personal appointments for CEO.

  • Send various correspondences to staff on behalf of CEO.

  • Maintain electronic and hard copy filing.

  • Maintain internal/external contact information for CEO Office.

  • Back-up to Receptionist when out of office or away from her desk.

  • Back-up to Facilities for any Fort Worth office needs.

  • Special projects as directed by Manager, Office of the CEO (i.e. maintain donation tracking, Executive Calendar, track travel barters, etc.)

  • Travel required both domestic and possibly international.

Educational and Skills

  • Associate's Degree

  • 2 4 years of experience providing administrative support

  • Advanced experience managing email, calendars, and meeting coordination

  • Advanced skills with MS Office Suite (Outlook, Excel, Word and PowerPoint)

  • Impeccable customer service skills

  • Experience with travel planning and submitting expense reports (Concur experience preferred)

  • Excellent written and verbal skills

  • Strong attention to detail

  • Must be able to maintain confidentiality

  • Ability to multitask, prioritize, and problem solve in a deadline driven environment

  • Experience in the travel industry desirable

The selected candidate will perform a variety of administrative duties in support to Human Resources executive team. This position will work directly with senior level employees and will be responsible for performing a number of administrative duties. Daily activities will include assisting with: * Schedules meetings and appointments and manages travel itineraries * Daily coordination of task lists to include managing flow and filing of sensitive and proprietary information * Receives, refers, or answers mail, to include review and properly re-directing e-mail with appropriate follow-up * Researching, preparing and finalizing certain basic level information and documents * Works with executive team to create spreadsheets and presentation information for meetings * Capable of delivering basic Audio/Visual Support for Meetings * General administrative including but not limited to answering phones, manage supplies, filing, mailings, and organizing meetings and space * May be asked to support office of EVP and GM, and other senior leaders visiting the site, as required. Basic Qualifications: * 5+ years of Administrative Assistant experience. * Experience managing calendars and leading coordination. * Experience with Microsoft Office--Word, Excel, PowerPoint, Outlook (specifically Outlook Calendar management). * Experience with travel planning, coordination and submitting expense reports. Desired Skills: * Proficient with LM Travel/Expense reporting tools and reconciling expense reports. * Exceptional customer relationship skills. * Experience interfacing with high levels of Company/Government personnel. * Experience arranging international/domestic travel. * Experience working with sensitive information, a high level of confidentiality is required. * Project management/coordination experience. * Advanced experience in Microsoft Office applications such as PowerPoint, Word, Excel, and Access. Able to do pivot tables in Excel. * Excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of staff, as well as external contacts. * High level of organizational and prioritization skills. * Team player that can multi-task in a fast-paced, changing environment.
