The Executive Assistant to the Office of the CEO assists the Manager, Office of the CEO with daily tasks and projects. The successful candidate thrives in a fast-paced environment and is in their comfort zone reacting and shifting priorities quickly while providing a calm demeanor and delivering excellent customer service with confidence.

Essential duties and responsibilities include the following. Other duties may be assigned.

  • Answer incoming telephone calls to CEO's office.

  • Prepare correspondence as directed by Manager, Office of the CEO.

  • Review email correspondence sent to Manager, Office of the CEO and handle as directed.

  • Schedule meetings as directed by Manager, Office of the CEO.

  • Arrange travel for CEO, or any other person as directed.

  • Prepare expense reports for CEO.

  • Open and sort all incoming mail to CEO and Manager, Office of the CEO.

  • Schedule personal appointments for CEO.

  • Send various correspondences to staff on behalf of CEO.

  • Maintain electronic and hard copy filing.

  • Maintain internal/external contact information for CEO Office.

  • Back-up to Receptionist when out of office or away from her desk.

  • Back-up to Facilities for any Fort Worth office needs.

  • Special projects as directed by Manager, Office of the CEO (i.e. maintain donation tracking, Executive Calendar, track travel barters, etc.)

  • Travel required both domestic and possibly international.

Educational and Skills

Requirements:
  • Associate's Degree

  • 2 4 years of experience providing administrative support

  • Advanced experience managing email, calendars, and meeting coordination

  • Advanced skills with MS Office Suite (Outlook, Excel, Word and PowerPoint)

  • Impeccable customer service skills

  • Experience with travel planning and submitting expense reports (Concur experience preferred)

  • Excellent written and verbal skills

  • Strong attention to detail

  • Must be able to maintain confidentiality

  • Ability to multitask, prioritize, and problem solve in a deadline driven environment

  • Experience in the travel industry desirable

Principal Duties and Responsibilities: * Welcome all MedExpress patients and visitors by greeting them in person, answering inquiries, and directing them through the registration process. * Answering multi-phone lines, filing, faxing, scanning documentation, and completing daily patient callbacks. * Discharge patients, assist office and clinical staff, and close office at the end of the night. * Collect all insurance information, verify patient demographics, process payments, post patient balances, and complete phone sheets. * Maintain a neat and clean work environment and professional appearance, and adherence to relevant health and safety procedures. Working Relationships: Other center staff if applicable. Position Requirements Qualifications: * 1 year of prior customer service OR experience in a medical office setting required. * Ability to multi-task and work well under pressure. * Knowledge of basic computer software and the ability to learn Electronic Medical Records. * Communicates well with patients and medical staff. * Ability to follow OSHA/HIPAA guidelines. Working Conditions: Center-Based. Requires working in a clinical setting. The noise level is moderate and there is a potential for exposure to infectious diseases and blood-borne pathogens. Also requires: travel to other Centers, the ability to stand and sit for hours at a time, (with some bending and stooping), ability to use manual dexterity in relation to clinical requirements, and ability to lift 50 lbs.
