Position Overview

This position will provide high-level administrative and logistical support to the Executive Director. This role requires flexibility to ensure smooth operations and the achievement of site goals.

The ideal candidate is a highly organized, detail-oriented, and relational professional with experience supporting executives. They can distill organizational priorities into actionable tasks and calendar management for leadership meetings. This individual will also play a significant role in fostering organizational culture, embodying City Year's core values, and motivating team members.

This unique opportunity allows you to gain insights into running a multi-million-dollar nonprofit organization, assisting with key projects in development, operations, programs, and events, as well as contributing to HR processes.

Job Description

Responsibilities

  • Provide administrative support to the Executive Director, including scheduling meetings, maintaining calendars, arranging travel, and managing correspondence.
  • Assist the Executive Director with special projects and draft/manage correspondence to internal and external constituents.
  • Manage calendars for the Executive Director and board meetings.
  • Prepare materials and research for conferences and meetings, handling logistics for travel and agendas.

Site Operations Responsibilities

  • Budget & Expense Tracking: Organize and monitor the budget, report on expenses.
  • Office Management: Oversee general office management, including inventory and ordering of supplies, and set up meeting spaces for events.
  • AmeriCorps Member Experience: Coordinate the onboarding and communication for AmeriCorps members.
  • Oversee uniform management for Corps members and staff, including inventory and distribution.

Qualifications

  • Experience: 3-5 years of professional experience; project management experience required.
  • Skills: Excellent organizational skills and the ability to juggle multiple projects.
  • Detail-Oriented: Strong attention to detail and a fast learner with an inquisitive mindset.
  • Interpersonal Skills: Ability to interact with diverse stakeholders.
  • Technical Skills: Proficient in Microsoft Excel, PowerPoint, and Word, as well as Google Suite products.
