Position Title: Executive Assistant to the Executive Team
Position Department: Executive Team
Reports To: Senior Executive Assistant
The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive Team. The Executive Assistant directly supports the Chief Operating Officer, Chief Financial Officer, Chief Academic Officer and the Chief Communications Officer; organizes and coordinates executive meetings and external business functions; and oversees special projects. The Executive Assistant also partners and works with the Founders and Chief Executive Officer's Executive Assistant to support the overall functions of the office.
The Executive Assistant must be creative and enjoy working within an entrepreneurial environment that is mission-driven, results-driven, and community oriented.
The ideal individual has the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
The Executive Assistant has the ability to work independently or as part of a team on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Completes a broad variety of administrative tasks for the Executive Team including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
Provides "gatekeeper" role, creating win-win situations for direct access to the Executive Team's time.
Communicates directly, and on behalf of the Executive Team, with direct reports and others, on matters related to the Executive Team's initiatives and business priorities.
Provides a bridge for smooth communication between the Executive Team and internal departments; demonstrating leadership to maintain credibility, trust and support with management staff.
Works closely and effectively with the Executive Team to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the Executive Team updated.
Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Executive Team's ability to effectively manage the company.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Partner with the Executive Assistant to the CEO, as needed.
Executive Management Team Liaison
Participates as an adjunct member of the Executive Team including assisting in scheduling meetings and attending meetings as needed to provide support for note taking and follow up.
Assists in coordinating the agenda of meetings and off-sites and all staff meetings.
Communications, Partnerships, and Outreach
Ensures that the Executive Team's bios are kept updated and responds to requests for materials regarding the Executive Team and the organization in general.
Edits and completes first drafts for written communications to external stake holders.
Follows up on contacts made by the Executive Team and supports the cultivation of ongoing relationships.
Education, Certifications & Experience
5+ years Executive Assistant experience to C-Suite.
Bachelor's degree preferred.
Full comprehension of office management systems and procedures.
Excellent knowledge of MS Office Skills.
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Very strong interpersonal skills and the ability to build relationships with all stakeholders.
Expert level written and verbal communication skills.
Demonstrated proactive approaches to problem-solving with strong decision-making capability.

Travel between campuses is required from time to time.
This position requires the need to lift objects (up to 20 pounds) on occasion.
This position may require sitting for long periods at times, talking on the phone, standing, kneeling, stooping, and long periods of concentration.
