Job Title Executive Assistant to the Chief Legal Officer

About the Role You will:

Be the Executive Administrative Assistant for the General Counsel and her direct staff at our Cupertino, CA facility. The work is often of a confidential nature. The ability to strike a balance between supporting daily needs of the executives and anticipating and quickly resolving problems with a high degree of initiative is essential.

In this role, you will:

  • Act independently to determine and plan tasks for projects, and manage those projects to completion within budget, on time, and with a high degree of professionalism and quality.

  • Consistently work on and complete assignments requiring independent action and a high degree of initiative to resolve issues.

  • Handle incoming and outgoing mail and other communications.

  • Manage the General Counsel's daily schedule, including calendar, travel and expense reports, in addition to receiving and directing visitors.

  • Manage travel, expense reports and other administrative tasks for the General Counsel's direct staff.

  • Coordinate executive and team meetings.

  • Provide rapid triage and referral of matters to appropriate parties across a global organization for action and follow up to ensure proper disposition.

  • Prepare agendas and correspondence for staff and business meetings and maintain records and files of current and post projects, operations and decisions.

  • Work with spreadsheets, databases, presentations and word processing software packages in the preparation of requested documents.

  • Build productive and collegial working relationships internally and externally.

  • Act independently and proactively to determine methods and procedures to improve processes or find efficiencies in support of the department.

  • Show flexibility as workloads fluctuate, and be ready and willing to assume additional projects/work from others on the team during downtime.

Reporting to the Chief Legal Officer in Cupertino, CA,

As a member of the Legal team, a successful candidate must:

  • Embody excellence and professionalism in all aspects of your work day, including verbal and written communication.

  • Be an expert in all technologies required to perform the job, including but not limited to the Microsoft Office suite of products, Google collaboration tools, AV, calendaring programs, and Adobe PDF Professional.

  • Be dependable, organized, detail oriented, and have excellent follow up skills.

  • Possess a high degree of confidentiality and use discretion in all communication.

  • Be a self-starter and able to identify areas that need attention or improvement.

  • Be meticulously organized and accurate in your work.

Your Experience Includes:

  • A proven track record of providing excellent administrative support, or ability to show competency; strongly prefer law firm or corporate legal department experience.

  • Experience in both the Microsoft Office suite of products and Google collaboration tools as you will use both on a daily basis.

  • Project coordination and/or event management skills.

  • Interacting and communicating at all levels within the organization, including the executives, clients and internal customers.

  • Bachelor's Degree or equivalent executive administrative experience.

You might also have:

  • Familiarity with Workday and Concur Travel & Expense Management System

Hours: Current hours are Monday Friday 8:00 am 5:00 PM. The hours are subject to change with or without notice at the sole discretion of Seagate
