Executive Assistant to EVP/SVP

Job Description:

The Federal Reserve Bank of Boston is looking for an experienced and technologically savvy Executive Assistant to provide strong administrative support to an Executive Vice President and a Senior Vice President, both of whom have complex meeting and travel schedules. This role is a critical component to our team's success, and requires sound judgment, an eye for accuracy, and discretion in handling confidential information. The Executive Assistant will be expected to juggle multiple projects and initiatives simultaneously and to communicate effectively with senior management and anticipate their needs. Candidates should possess strong communication, analytical skills, attention to detail, technical skills, and problem solving skills.   • Use good judgment to handle complex calendar and scheduling for 2 officers (and serve as backup for other officers) by maintaining Outlook calendars, coordinating and scheduling appointment requests, setting up meetings and conference calls, preparing meeting materials, and effectively handling all requests and monitoring resolution/follow-up

  • Coordinate travel arrangements by identifying travel options, booking the reservations, ensuring arrangements comply with Bank policies, providing follow-up on special travel requests and preparing travel itineraries and expense reports

  • Read, prioritize, and respond, as appropriate, to a constant stream of email messages and documents; compose and edit correspondence with very high standards for tone/etiquette, grammar, spelling and document formatting and while maintaining the highest level of confidentiality

  • Collect data, format and proofread reports, draft Word documents, PowerPoint presentations, and Excel documents with input from the officer; organize briefing materials for System Conference meetings and external meetings

  • Coordinate logistics necessary for meetings by working with Conference staff, Facilities, and the Law Enforcement Unit, etc. as necessary and ensuring expenses comply with Bank policies

  • Ensure timely and accurate distribution of communications and effectively multi-task and manage competing demands

  • Develop positive relationships with local and Fed System colleagues, as well as external constituents

  • Consistently convey a professional and friendly response to callers, visitors, and colleagues; provide telephone coverage for the executive floor as part of a team

  • May participate in special projects and other duties as required


  • Bachelor's degree preferred

  • At least 5 years of experience providing administrative support to Executive and/or Senior Leader

  • Strong technical proficiency and knowledge of computer hardware and software, including iPhone, Microsoft Office Suite of programs, Windows, Visio, SharePoint; Adobe Acrobat and a strong user of collaboration tools, such as SharePoint site, instant messaging, sharing documents

  • Excellent organizational skills, with experience prioritizing work in a fast-paced environment with multiple and conflicting interests

  • Excellent interpersonal, analytical, and communication skills

  • Experience and comfort with working independently as well as collaboratively to manage tasks to completion

  • Demonstrated good judgment to seek help from manager or raise issues appropriately

  • Consistently is focused on providing high level of service and collaboration with the team while maintaining the utmost level of confidentiality all times

  • Strong skills in collaboration, emotional intelligence, accountability, innovation

This is an exciting opportunity to support senior leaders whose work is felt across the hospital. This position requires excellent organizational, interpersonal and communication skills and attention to detail. Principal Duties and Responsibilities * Manage executive schedules, including the planning and timely notification of meetings and appointments using independent judgment in setting priorities and proposing alternatives to meetings; meeting preparation * Maintain two high volume calendars * Collaborate with other senior staff, EAs, and individuals outside of the organization to ensure sound calendar management, adequate balance of meeting time, work time and general availability * Ensure adequate travel time in schedules * Communicate schedule changes in timely manner * Proactively identify calendar conflicts and works to resolve such issues * Support and set up individual, small group, and committee/working group/task force meetings * Ensure meeting participants have accurate meeting logistics (location, directions, etc.) * Arranges for conference room, catering, and technical support (i.e.: projector, teleconferencing services) and prepares materials as necessary * Ensure efficient and effective day-to-day functioning of activities within these administrative areas * Develops and edits documents and presentations in Microsoft PowerPoint, Word, Excel, and other MS Office software * As needed, own/manage/execute projects on behalf of the Office * Provide local administrative support to the President, BWPO, including file and material management, printing and document support, and other requests as assigned * Provide customer friendly support to answer questions and resolve issues in accordance with appropriate policies and procedures * Responsible for supply ordering and utilization * Handle confidential matters with the utmost discretion * Uses independent judgment to manage workload and responsibilities, as well as solve problems Other Business Responsibilities * Tracks, enters and reports department employees' weekly hours through Kronos, as needed; maintains department schedule for vacations and summer hours program * Prepares and tracks expense reports for SVP and VP * Organizes and manages office supplies and equipment; ensures all equipment is in working order and arranges for repairs * Processes and tracks purchase orders, invoices, check requests, reimbursements, petty cash vouchers, and other transactions * Assists in the preparation for new employee arrivals, including office/cube preparation, IDs, security, computer set-up; manages scheduling for new hire orientation program * Assists with correspondence, filing, telephone coverage, routing routine mail and other administrative activities * Serves as a central departmental troubleshooting resource on IT related issues * Provides back-up coverage for other senior executives within BH Administration * Other ad hoc administrative projects as assigned, including requests from the Chief of Staff to the EVP and COO (CoS) * Associate's degree or related experience required.
