Our client, an advocacy organization for medicine in DC, is seeking an experienced Executive Assistant to support their Public Affairs Team and reports to the Chief Strategy Officer.

This opportunity may be right for you if you're highly organized, diplomatic, tech-savvy, able to juggle multiple complex projects, and have excellent interpersonal skills.

This is a hybrid position located in Washington, DC. The selected candidate will be required to report to work in-person a minimum of two days per week.

Duties include, but are not limited to:

  • Manage schedule for Chief Strategy Officer (CSO) and schedule internal and external meetings with CSO with team members, consultants, member representatives and other parties.

  • Work with membership team to coordinate CSO involvement in membership recruitment activities.

  • Manage the internal and external contact lists for the CSO.

  • Coordinate travel arrangements and perform similar administrative duties for CSO.

  • Support VP of Government Affairs; VP of Public Affairs, Europe; and VP of Global Communications with scheduling and coordination tasks as necessary.

  • Coordinate regular Global Public Affairs internal team meetings and regular meetings with consultants across multiple time zones; track follow-ups and document progress.

  • Submit timely expense reports and company card reconciliations for the CSO and the other members of the Global Public Affairs Leadership Team.

  • Organize written documents for external audiences on the website and member portal, and support public affairs team with document organization on SharePoint.

  • Assist events team in planning and running Public Affairs events and events focused on governance bodies.

  • Collaborate with Membership Department to maintain the Outlook rosters for Public Affairs-focused Advisory Group and Forums, the two principal types of bodies that comprise governance function.

  • Send regular communications to Advisory Groups and Forums.

Qualifications:

  • Enthusiasm for our mission

  • Bachelor's degree

  • 6-7+ years relevant, recent EA work experience, simultaneously supporting multiple senior executives with a global remit / travel requirements Clear communicator and strong writing skills

  • Comfortable in a start-up, small team environment with high expectations

  • Self-starter, proactive and creative problem solver

  • Highly organized, detailed oriented, and ability to prioritize projects against deadlines

  • Tech-savvy; experience with AMS (iMIS), Higher Logic, Office 365, and WordPress preferred

  • Adept at scheduling calls and meetings

  • Calm under pressure; diplomatic

  • Experience working across time zones and cultures preferred
