What you'll be doing:

  • Be a partner to the CEO and help leverage the CEO's time by performing various duties based on the shifting and growing needs of the CEO and the company

  • Participation in program management which involves duties on a regular weekly, monthly and quarterly basis as well as project management for strategic and ad hoc initiatives

  • Performing diverse, advanced support duties including: coordinating strategic business projects and helping to guide them to completion; managing an extremely active calendar of appointments; composing and preparing correspondence; arranging complex and detailed travel arrangements; meeting/event planning and preparations; interaction with all levels of the organization as well as a wide range of external parties; and handling/coordinating confidential and sensitive information

  • Act as an ambassador/gatekeeper to the CEO, ensuring he is kept informed of upcoming events, commitments and responsibilities with appropriate and timely follow up

  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follows through to successful completion, often with deadline pressures

  • Handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response

  • Create documents in support of meetings/conference calls, including presentations, reports, and proposals

  • Plan and coordinate CEO's schedule, including judgment calls for meeting presence and travel requirements

  • Attend key staff and team meetings as required, preparation of agenda and meeting minutes as needed. Independent follow-up on action items from meetings

  • Coordination of CEO s corporate credit card(s) including preparing and reconciling CEO travel and expense reports

  • Support of executive team

  • Other ad hoc duties as and when requested

What you already have:

  • A Bachelor's Degree and a minimum of 5 years in a support role, 3 working with a senior executive

  • Strong project management skills

  • Proven track record of meeting deadlines and successfully managing administrative processes and projects.

  • Expert level written and verbal skills

  • Proven organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

  • Full proficiency with MS Office Tools (i.e. PowerPoint, Word, and Excel)

  • Confidence in learning new technologies

  • Very strong interpersonal skills and the ability to build relationships with various internal and external stakeholders, including other executives, staff and board members

  • Sharp business judgment, ability to see "big picture" and to prioritize, while working independently, yet asking for help when necessary

  • Self-starter who enjoys finding ways to improve things without direction

  • High energy, strong work ethic, disciplined execution skills, willingness to do whatever it takes to deliver results

Responsibilities JOB PURPOSE The Executive Assistant to the CEO will perform a variety of administrative duties and special projects for the CEO, involving high-level contacts (e.g., Board of Directors and investors) as well as employees at all levels of the company and exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion and judgement. This position's hours are 8:30 – 5:30pm or 9:00am to 6:00pm, with the understanding and availability to be on call for the CEO's needs [for occasional CEO support] after hours or on weekends. Key Accountabilities The key responsibilities will include as a minimum the following: CEO's Travel and Calendar Management: * Coordinate, schedule and confirm travel arrangements (flights, hotels, transportation) for CEO, board, and visitors, and ensure travelers supported have the necessary travel documents and create travel itineraries as necessary. * Ensure continuous and timely phone and message coverage during business hours, especially during CEO travel. * Communicate and work with senior management via phone and email when traveling. * Conduct bi-weekly priority meetings to ensure calendaring and scheduling is smooth, up-to-date and reflects the CEO's business priorities and business objectives. Critical Corporate Activities (Board and Investor Coordination, Presentations and Events): * Organize, update, draft, prepare, compile documents (word processing, format graphic presentations, organize, bind etc.) for board and investor presentation books. * Organize all logistics for Board groups, including event/meetings management, Supporting CEO's Responsibilities (Coordinating with Direct Reports, Aiding in Work Deliveries etc.): * Help CEO prioritize, update tasks, projects and activities. Prep the CEO for meetings and speaking engagements. * Ensure CEO tasks/meetings/activities are conducted in a timely manner and within deadline. * As instructed, draft, edit, proofread and send correspondence, memos, etc. to senior management, board members, staff, clients, and vendors with minimal direction. * Ensure that the CEO is keeping up to date on other board commitments and trade organizations. * Support other direct reports to the executive in preparation of travel, meeting scheduling, and other administrative procedures listed here. * Act as the direct point of contact for high-level confidential meetings impacting the CEO and C-Suite Executives * Assist in preparing and distributing monthly reports for the Board of Directors (BOD) and senior management, including managing the CEO Board report. * Coordination of internal events, leadership retreats, corporate functions and BOD lunches and dinners. * Organize and coordinate CEO meeting schedules and processes such as: * Confirm meetings, reserve conference rooms, arrange for food service and other accommodations. * Anticipate, prepare and organize agendas, files, and presentation materials. * Track attendees to ensure meetings are impactful and meet their objectives. * Manage the coordination of PEGI and LP board meetings and logistics and materials on a frequent basis. Special Projects: * Special projects will be assigned on an as needed basis. Special projects range from program management of new political or employee programs, or working as part of a research team on high-profile external/political meetings. Other Administrative Duties: * Prepare expense reports, ensuring the proper company policies and procedures are followed. * Keeping the Leadership organizational chart up-to-date. * Responsible for all Board member expense reimbursements. * Occasional personal assistance to CEO for travel and other needs as necessary. * Provide the following additional administrative support: * Update contact information in Outlook and other databases. * Occasionally pickup and deliver (or coordinate the pickup and delivery of) lunches, coffee, and other food or refreshments as needed. * Scan, fax, copy, mail, and FedEx documents/packages. Qualifications Experience/Qualifications/Education Required Educational Experience A Bachelor's Degree or an equivalent amount of combined education and work experience required. Master's Degree and exceptional experience strongly preferred. Required Work Experience A minimum of 5 years of work experience as an Executive Assistant, supporting a CEO, President or other high-level executive. Previous experience supporting the C-suite at a rapidly growing company is highly preferred. Required Skills, Abilities and Knowledge: Organizational Skills: * Detail oriented and highly organized so as to produce a quality work product in a timely manner. * Effective scheduling/meeting coordination skills. Must be able to multi-task and juggle multiple assignments with competing deadlines concurrently. * Ability to quickly note and outline project requirements and carry out tasks related to the completion of a project. * Excellent memory and tracking skills. Communication * Must be able to handle highly confidential information discreetly. * Strong interpersonal communication skills. * Must be professional, personable, approachable, reliable, courteous, tactful and diplomatic. * Positive "Can-do" attitude. * Good command of English and grammar. * Must be able to compose correspondence. * Excellent proofreading skills. Meetings / Events / Project Management * Meetings and events management skills including the seamless planning of high-level events * Bright, enthusiastic individual, who can calmly tolerate a high degree of intensity, pressure, and chaos when the situation presents itself. * Must be computer savvy and be familiar with how to do research using the Internet. * Intermediate to advance knowledge and experience with Microsoft Word, PowerPoint, Excel and Outlook, Adobe Acrobat. Familiarity with expense (such as Concur), travel and purchase order or requisition systems is desirable. Problem Solving * Ability to handle the stress of functioning in a fast-paced organization, meeting deadlines, anticipating quickly changing needs and exercising judgement regarding a wide range of responsibilities including conflicting priorities/work overflow. * Flexibility in work responsibilities and hours. Must be able to change priorities constantly. * Self-motivated; take initiative, and anticipate issues. * Ability to anticipate needs and prepare a course of action based on the needs of the CEO and other senior executives based on their prior behavior and stated expectations.
