Mighty Fine Apps is a fast-growing company dedicated to creating innovative apps that empower the deaf and hard of hearing community. Our flagship product, Live Transcribe, provides real-time transcription services that help users bridge communication gaps. We’re expanding and looking for a dedicated Executive Assistant to join our team and support our CEO in driving efficiency and achieving our mission.
Position Overview
As our Executive Assistant, you’ll work directly with the CEO to manage schedules, streamline operations, and coordinate communications. More than just an administrative partner, you’ll act as a thought partner, contributing structured thinking to brainstorming sessions and helping facilitate strategic decision-making. You’ll play a key role in keeping executive priorities on track while supporting a dynamic, mission-driven environment.
Requirements
Key Responsibilities
- Calendar & Schedule Management: Optimize the CEO’s calendar by coordinating meetings, events, and engagements.
- Communication Support: Act as the primary liaison between the CEO, team members, and external partners using tools like Slack, Zoom, and email.
- Operational Coordination: Assist with project tracking, documentation, and process improvements.
- Strategic Thought Partner: Act as a sounding board for ideas, offering structured thinking to help refine decisions and strategies.
- Facilitating Decision-Making: Help the CEO weigh options, organize insights, and navigate trade-offs in key company decisions.
- Leading Whiteboard Sessions: Guide structured brainstorming meetings, ensuring discussions are focused, productive, and lead to actionable outcomes.
- On-Site Assistance: Provide in-person support at our Temescal Works coworking space in Oakland (minimum 4 days per week).
Qualifications
- Proven experience as an Executive Assistant, Chief of Staff, or similar role.
- Strong ability to think critically, organize complex information, and facilitate decision-making.
- Experience leading or structuring brainstorming sessions to generate actionable outcomes.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication abilities.
- Proficiency with productivity tools such as Google Calendar, Slack, Zoom, Notion, and Jira.
- Discretion and professionalism in handling sensitive information.
- Experience in fast-paced, mission-driven environments is a plus.
