Enumerate is looking for an Executive Assistant for our CEO!

We are seeking a highly motivated and dynamic Executive Assistant to join our team and provide comprehensive support to the CEO and assistance to our executive leadership team at Enumerate.

This role requires a unique blend of intellectual curiosity, emotional intelligence, and the ability to thrive in a fast-paced startup environment. The ideal candidate will be a self-starter who is adept at managing complex tasks with a proactive and subtly assertive approach. This full-time salaried role will be in our Clearwater office, with hybrid schedule potential. Our salary range is 55-60k, depending on experience.

What you'll do

  • CEO Support:

  • Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.

  • Coordinate logistics for executive meetings, conferences, and special events.

  • Prepare, edit, and ensure the accuracy of documents, presentations, and reports for the CEO.

  • Prioritize and screen incoming emails, calls, and correspondence for the CEO, ensuring timely responses and follow-up.

  • Executive Leadership Team Assistance:

  • Provide administrative support to other members of the Executive Leadership Team (ELT).

  • Assist in scheduling meetings and preparing materials such as agendas, notes, and follow-up actions for executives.

  • Collaborate with department heads to facilitate cross-functional initiatives and projects.

  • Communication and Liaison:

  • Serve as a point of contact and gatekeeper for the CEO and ELT, handling inquiries and requests with professionalism and confidentiality.

  • Facilitate communication and coordination between the executive team, departments, and external stakeholders.

  • Draft, proofread, and distribute internal and external communications on behalf of the CEO and ELT.

  • Office Management:

  • Maintain office supplies, equipment, and inventory, ensuring that all resources are stocked and operational.

  • Oversee office facilities and liaise with building management as needed to address maintenance and security concerns.

  • Manage vendor relationships and contracts for office services, including catering, cleaning, and maintenance.

  • Special Projects and Initiatives:

  • Support and manage special projects as assigned, conducting research and preparing reports to assist in strategic decision-making and planning.

You should have

  • Experience: Minimum of one year working as an Executive Assistant, or in a similar capacity, with a proven track record of supporting C-level executives.

  • Trust and Integrity: Ability to earn the trust of peers and leaders across the organization by consistently demonstrating and upholding our Core Values.

  • Proactive Initiative: Highly self-motivated and driven, with a strong ability to operate independently. Exhibits foresight to anticipate needs and take appropriate action without needing constant direction.

  • Communication Skills: Strong verbal and written communication skills with a capacity to handle sensitive information discretely.

  • Emotional Intelligence: Exhibits emotional resilience; able to maintain composure and high performance under pressure.

  • Organizational Skills: Exceptional organizational and time management skills with a knack for prioritizing competing tasks effectively.

  • Attention to Detail: Demonstrates superior attention to detail and maintains high accuracy in a dynamic, fast-paced environment.

  • Technical Proficiency: Skilled in Microsoft Office suite.

  • Travel: willingness to travel up to 5% for business needs.

  • Sponsorship: must be eligible to work in the US without sponsorship.
