Job Description:

The successful candidate will possess strong organizational, analytical, and administrative skills to provide full scope of executive administrative assistance to the SDG Group level Information Technology, Communications, Corporate Development & Operations organizations. The successful candidate provides strong administrative support to the department's initiatives, handles multiple projects simultaneously, and quickly learns about the procedures involved in the administration of plans.


  • Maintains multiple executive calendars, including assisting in organizing high-level meetings and complex domestic and international travel arrangements

  • Provides phone coverage

  • Prepares and reconciles travel expense reports

  • Works with staff on various functional projects and special reports

  • Develops and modifies new and existing PowerPoint presentations, correspondence and Excel spreadsheets

  • Provide Communication operations support such as Subscriber Email, PRNewswire coordination and Information Center research

  • Partners with corporate administrative professionals in order to manage needs of executives

  • Performs general office duties maintains files, orders office supplies, maintain databases and document retention, process invoices and ensures the workflow of the office runs smoothly

  • Completes all other position-related duties as assigned or requested

Education Requirement

Associates Degree or equivalent combination of education and experience; BS/BA preferred.


  • Minimum 3 years' experience as an administrative assistant/senior administrator, supporting senior executive(s) in a large multi-national company

  • Experienced in supporting a global organization with multiple locations and time zones

  • Experienced in independently managing multiple concurrent tasks and meeting rigid deadlines

  • Must be proficient in spreadsheet, presentation, & email software such as MS Word, Excel, PowerPoint, Outlook, and general MS Windows operations

  • Must present a high degree of professionalism and excellence in both written and verbal communication, as this role is an extension of the functions and the executives

  • Strong problem-solving skills and reasoning to solve administrative issues

  • Positive, "can-do" attitude

  • Focused on serving internal and external stakeholders

  • Able to learn the executives' primary business objectives, and through this understanding is able to anticipate administrative needs of the executives

  • Excellent attention to detail

  • Proficient in performing basic internet searches

  • Ability to maintain strict confidentiality

If so, this Executive Administrative Support Staff role could be an exciting opportunity to explore. As an Executive Administrative Support Staff, you will provide administrative support to senior leaders within the organization. This role will provide YOU the opportunity to lead key activities to progress YOUR career, these responsibilities include some of the following… * Provide administrative support to the VP of Strategic External Development, the leadership team and support the SED organization. * Review the VP calendars on a daily basis, resolving calendar conflicts and assisting by prioritizing meeting schedules based on department deliverables. Manages, accepting and declining invites and in the case of conflicts, prioritizes appointments and calendar for the VP by providing meeting schedule, background information, meeting location, etc. * Coordinates heavy travel schedule i.e. flights; hotel; transportation; visa/passport and itineraries; scan expense receipts and send to offshore, ensuring team is compliant with policies. Update travel profile in system (Concur) * Arranges VTCs (ensure everything is running smoothly), conference rooms, meeting logistics, and catering. * CERPS - Vendor & Supplier payment - resolution for any T&E issues; chasing invoices; raising purchase orders; one-time vendor payment CERPS. * Onboarding of SED new employees - work with SED to maintain up to date onboarding program that aligns with Waltham site, BPDS and SED and help facilitate onboarding by processing the necessary paperwork, ordering and scheduling for new employees * Liaise with internal and external parties, national and international to arrange individual and group meetings. * Manage team sites (i.e. create; update; agendas for LT & Department meetings, etc.). * Handle logistics for interviews per the step-by-step interview guide (i.e. scheduling; itineraries; point of contact for candidate, set up presentation for candidate & hiring manager (using loaner laptop), etc. * Maintains staff records for leadership team (i.e. vacation; training; effort tracking; emergency contact, etc.). * Produces and creates documents, presentations, spreadsheets, organization charts, data compilation and analyses using computer applications. * Works closely with global admin team in organizing scientific conferences and large functions that are key to the business and its success. * Regularly works with confidential information of major importance to GSK; high level of discretion and integrity required. * Demonstrable experience in taking the initiative and acting independently without specific direction. * Provide concierge support to teams (i.e. GSK systems; Workday; CERPS; Team sites, Concur; etc.). * Order office supplies; equipment, business cards * Any other admin duties required by the VP and the SEDLT Why you?
