About the Opportunity

The position serves as Executive Assistant in the Office of the Chief of Staff with primary focus towards supporting the Vice President for Compliance & Audit Services (VP) and the Vice President for Safety & Emergency Operations (VP) for the UNC System Office and the University System. Responsibilities include serving as the primary administrative support to the UNC Board of Governor's Committee on Audit, Risk Management, and Compliance; reviewing and triaging incoming phone calls, e-mail, and correspondence to the VPs; drafting e-mails and/or correspondence using independent discretion, answering, and when appropriate, accurately referring questions or issues to the most appropriate System Office staff member, other staff within the UNC System Office, or when applicable, a campus-based official; assisting with or having primary responsibility for developing and/or formatting complex reports or presentations, often with only general direction; coordinating and managing various complex administrative projects, often under tight deadlines; managing executive calendars and appointments; arranging and coordinating meetings and special events and arranging travel; preparing and processing expense reimbursement; and performing other administrative duties as may be assigned.

This position will have substantial visibility to a wide variety of individuals interacting within the UNC System Office and the constituent institutions and frequently communicate with Senior University Officers and the Board of Governors members. The position may also provide administrative services to others in the Office of the Chief of Staff as needed.

The UNC System Office is located in downtown Raleigh, NC. Due to the critical nature of this position, the selected candidate will be expected to work in the office 5 days a week.

About the UNC System Office

The UNC System Office includes the offices of the President and other senior administrators of the multi-campus University of North Carolina System. The UNC System is a treasured public institution dedicated to serving the people of North Carolina through world-class teaching, research, and community engagement.

Today, nearly 250,000 students are enrolled in our 16 universities across the state and at the NC School of Science and Mathematics. System Office staff is responsible for executing the policies of the UNC Board of Governors and providing University-wide leadership in the areas of academic affairs, business and financial management, long-range planning, student affairs, research, legal affairs, and government relations. The UNC System Office also has administrative oversight of a number of University affiliates, including PBS North Carolina, the North Carolina Arboretum, the NC State Education Assistance Authority, and University of North Carolina Press.

About the Team

The President is the UNC System's chief administrative and executive officer, with complete authority to manage the affairs and execute the policies of the University, subject to the direction of the Board of Governors. The work of the President and Board of Governors is supported by a staff within the UNC System office. The Office of the Chief of Staff falls within the immediate Office of the President and coordinates the operations of the president's office and provides direct support to the president in fulfilling the day-to-day responsibilities in managing the affairs of the University.

Internal audit at the UNC System Office is dedicated to adding value to the organization through continuous improvement, risk assessment, and internal control evaluation efforts. We are obligated to maintain high standards of competency, objectivity, confidentiality, and integrity in the performance of our duties and responsibilities. We are here to serve all departments of the System Office, including PBS North Carolina.

The Safety and Enterprise Risk Management office is a source of leadership, subject matter expertise, and coordination in the areas of institutional law enforcement, security, preparedness, and emergency management and response. The office functions include leading law enforcement, emergency preparedness and response, and related activities at the UNC System level, and serving as a point of liaison and coordination in partnership with the chiefs of police and emergency management leads at the University of North Carolina's constituent institutions and affiliates. This office keeps the president and other University senior leaders informed of major critical incidents at affiliated entities, leverages emergency response capabilities across the UNC System, and serves as the principal liaison on behalf of the UNC System with local, state, and federal law enforcement and public safety partners.

Minimum Education, Experience, and Skills

High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
