Performing and leading a wide variety of administrative tasks including scheduling, calendar management, meeting preparation and execution, event planning, document creation, and travel arrangements.
Managing executives' daily schedules, which requires the ability to prioritize requirements and demands. Organizing and providing materials which include schedules, meeting read-aheads and supporting materials such as biographies, action items and travel documentation.
Arranging for all travel in support of the executives. Preparing itineraries, and arranging conferences and required support services.
Planning, coordinating and supporting a variety of meetings and presentations including arranging for venue, catering, duplication of materials, audio-visual needs, etc. Assessing and improving processes as needed.
Performing research for project reports as necessary.
Maintaining state-of-the-art knowledge of MITRE's administrative support systems, policies and processes.
Managing special projects, including administrative or technical projects. This requires interaction at all levels of MITRE and with external stakeholders. Coordinating projects and tasks so key team leaders and members are informed and working together.
Communicating with leadership so you can anticipate requirements, make decisions, break logjams, and drive progress on a multitude of tasks. Interpreting and communicating priorities, guidance and objectives.
Maintaining security of highly sensitive and confidential information.
Working in a collaborative team atmosphere, where vacations are coordinated, and coverage secured as necessary, and that telephone coverage is provided throughout the office at all times. Includes closely working with the Executive Assistants team both in McLean and Bedford.

The selected candidate will be part of a team providing decision-making, office management and project coordination support to two Officer level executives. This includes using independent initiative, leadership and judgement to make decisions on priorities, solve problems, facilitate tasks, manage special projects. The highest level of professionalism, integrity, personal conduct, and collaboration is expected. This position is located in Bedford, MA.
