Headquartered in Paterson, NJ, Straight and Narrow is the largest program of its kind. We provide innovative and compassionate services to individuals struggling with substance use and co-occurring disorders. We are looking for dedicated, caring and compassionate people to work in our Residential/Outpatient Treatment Facilities and Community Programs.
Executive Assistant (Temporary)
Schedule per week: Monday - Friday 8:30am 4:30pm
Location: Paterson, NJ
Job Specific Responsibilities and Duties:
Answer, screen and direct all telephone calls appropriately.
Sort Mail daily and distribute to appropriate parties, administration only
Schedule appointments for the Executive Director and CFO
Order refreshments for meetings
Order office supplies, furniture, and Linen supplies for various departments within Straight and Narrow (SN)
Conduct Reconciliation for the Visa and American Express credits
Ensure all Purchases have an accounting code and are submitted to the accounting Department by the 10th of each month
Prepare and make bank deposits daily
Prepare and Submit billing for services rendered to various insurance companies
Pay Bills online (PSE&G, water, cell phone and other utility Bills)
Obtain Insurance certifications
Obtain insurance and registration for agency vehicles
Purchase professional Liability insurance for the pro-bono doctors
Prepare monthly for Ryan White and HOPWA
Prepare Program Reports by the 10th of the Month
Prepare and submit all renewal for facility licenses
Excellent computer skills for word processing, spreadsheet creation, power point presentations, etc.
Excellent organizational skills for filing and performing data entry as required.
Maintain files and records so they remain updated and easily accessible, both physical and electronic.
Sort and distribute incoming mail and prepare outgoing mail (envelopes, packages, etc.)
Utilize office appliances such as photocopier, printers etc.
Take minutes of meetings.
Responsible for copying, scanning, binding of files as required
Assist in office management and organization procedures.
Assisting with preparation of documentation for meetings, State, Federal regulatory site visits, CQI Committee and related subcommittees, etc.
Must function professionally, ethically and maintain confidentiality
Perform other office duties as assigned
Qualifications: Associate degree, good knowledge of Microsoft Programs, good organizational skills and multi-tasking abilities. Working knowledge of office devices and processes and excellent communication skills. Experience Performing Administrative and clerical tasks. Some billing experience. Bachelors degree preferred.
