Summary:

Seattle Genetics is looking for an energetic and detail oriented assistant to support the Vice President of Investor Relations and assist with day to day support for the CEO. Ideal candidate will be able to multitask in a hectic environment, have strong attention to detail, effective at prioritization and proactive communications, as well as strong written and verbal communication.

Responsibilities:

  • Manage complex calendars, schedule meetings and arrange WebEx calls

  • Extensive travel (international/domestic) which requires putting together travel packets, and arranging all travel logistics

  • Answer CEO's phone and take messages

  • Timely preparation of expense reports

  • Help support the Board of Directors and Committee Meetings

  • Maintaining board rosters and sending out updated info to appropriate people

  • Maintain professional memberships, contact database, group rosters and all subscriptions

  • Maintain separate monthly calendar for CEO with outside BOD's and personal travel

  • Arrange travel for personal trips and outside BOD meetings

  • Work closely with the Manager of Executive Administration & Corporate Events to help arrange logistics and meetings for all conferences (JPM, ASH, ASCO & Investor Conf., etc.

  • Back up support for lunches, vacations and sick time for entire C suite

  • Plan, set up and manage onsite and offsite meetings, major company events and/or lunches

  • Maintain corporate tickets (Seahawks, Mariners, Sounders, Paramount, etc.)

  • Schedule and handle logistics for company quarterly calls; work with assistants to make sure the call is on appropriate peoples calendars

  • Schedule and maintain spreadsheet on quarterly call prep meetings

  • Schedule prep meetings for VP/CEO for all company quarterly update meetings

  • Build and mail IR kits

  • Help arrange and coordinate logistics for the annual shareholders meeting and other IR events

  • Maintaining contact database and various trackers for IR

  • Special projects as required

  • Must be willing to work extended hours and possible weekends, as well as willing to travel for events as needed.

Requirements:

  • At least 9+ years supporting senior management in a fast-paced, technology-driven environment. Should have at least 9+ years of combined experience with administrative work or project management

  • Highly proficient in MS Office products (Outlook, Word, Excel, and PowerPoint)

  • High comfort level and experience in working with all levels in an organization, including senior management and C title positions

  • Experience supporting multiple people on multiple teams including arranging travel, calendar/meeting coordination, and general office support

  • Well organized, able to multitask, have strong attention to detail and effective at prioritization and proactive communications

  • Demonstrated experience taking initiative, accommodation of different work styles, a self-starter, able to work independently and address urgent issues

  • Positive attitude, capacity to learn quickly and work well under pressure

  • Ability to change priorities in response to changing work situations

  • Ability to work under distractions and interruptions

  • Ability to handle sensitive information and high level of discretion

  • Strong team player, professional demeanor, collaborative work style

  • Excellent communication and interpersonal skills

  • High Tech or biotech experience a plus

  • Willing to travel if needed for company events and various projects

  • Able to lift 10+ pounds if necessary
