Summary:

The Executive Assistant is responsible for performing diversified and confidential secretarial and administrative functions for Steward Health Care (SHC) leadership. Works with highly confidential materials on a routine basis.

Responsibilities:

Works closely with the SHC leadership in accomplishing the goals and objectives of SHC; manages the offices of members of SHC leadership. In collaboration with SHC leadership, manages and prioritizes calendar(s), schedule(s), coordinates meetings, and communicates closely with required individuals.

Prepares and assembles materials for high-level leadership meetings. Maintains departmental files and ensures confidentiality of those files. Functions as on-site office manager: maintains relationships with external vendors, orders equipment and supplies, troubleshoots and triages facility issues as they arise. Collects information, including financial data, and prepares reports and presentations for SHC leadership.

Qualifications:

Demonstrates an understanding of general business functions and executive-level responsibilities. Demonstrates independent thinking and the ability to multi-task in a fast-paced office environment.

Ability to prioritize work and adapt to rapidly changing priorities. Demonstrates high degree or organization and the ability to plan and manage long term administrative projects. Excellent interpersonal skills; strong oral and written communication skills; exceptional phone skills.

Ability to interact and work well with people at all levels in the organization. Maintains information in a confidential manner according to policy. Possesses a high level of maturity and tact.

Excellent customer service and ability to work in a fast-paced, dynamic environment. Bachelor's degree strongly preferred. Three to five years of experience working in an Executive Administrative environment, supporting multiple individuals Software/Hardware:

MS Office Suite (Excel, Word, Outlook, PowerPoint are essential) Other: Understanding of health care. Experience with diverse populations
