The North Carolina Division of Public Health (DPH) is accountable for the protection, promotion, and preservation of health for North Carolinians through ethical, compassionate, and ongoing health practices. Public health is a network of essential services working and cooperating to protect and improve North Carolina's health and to make communities safe and healthy places to live. The primary goals of DPH include strengthening public health infrastructure, improving health outcomes, and eliminating health disparities. DPH interfaces with 86 local health departments throughout the state which are the primary deliverers of public health programs. The Division Office is comprised of DPH's executive leadership team, including the Director of Regulatory and Legal Affairs.

The Executive Assistant position provides day-to-day executive administrative support for DPH's Division Office. This position reports to the Director of Regulatory and Legal Affairs and will also support the Office of Regulatory and Legal Affairs. Areas of work include: 

  • Scheduling meetings, managing calendars, maintaining organizational and filing systems, arranging travel, routing correspondence, drafting correspondence, presentations, and other documents, preparing and routing purchase requests, and other administrative tasks for the Division Office and Office of Regulatory and Legal Affairs;  

  • Providing administrative support to the Commission for Public Health, including communicating with members, scheduling and attending meetings, compiling meeting materials, and drafting meeting minutes;

  • Communicating with internal and external stakeholders, including leaders across NCDHHS and DPH, the Commission for Public Health, local health directors, and others;

  • Implementing administrative processes, policies, and procedures, including records retention requirements; and 

  • Assisting with other administrative and programmatic tasks, as assigned.

  • Experience using relevant technology (software and systems) to meet organizational needs, including skill with Microsoft Office products, Sharepoint, WebEx, Docusign, and Adobe.
  • Ability to present and explain ideas, concepts, and information clearly and effectively both verbally and in written form; ability to adjust language or terminology to meet the needs of the audience; ability to use correct grammar, organization, and structure.
  • Ability to learn new administrative skills, systems, and procedures quickly and work independently to perform the duties and functions of the position, prioritize work, and meet deadlines. 
  • Ability to identify and understand issues, problems, and opportunities and develop and implement appropriate solutions. 
  • Excellent customer service skills and the ability to develop and maintain effective working relationships with NCDHHS and DPH staff, State officials, and the public.
