The Department of Communication has a meaningful and rewarding opportunity for an executive administrative assistant. This position will support the Chief Communication and Marketing Officer (CCMO) for Michigan Medicine. Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel
Serves as the main contact when the (CCMO) is out of the office and ensures that inquiries and issues are addressed
Works in conjunction with various departments to schedule meetings and appropriately prioritize complicated and meaningful schedules; responding to frequent changes in schedules; screening the purpose of meeting requests; setting priorities when there is a conflict; obtaining information regarding the meeting and providing CCMO with background and meeting materials
Oversee travel as directed; prepare all necessary paperwork, itineraries, process p-card expenses and expense reports
Draft agendas, prepare meeting rooms with AV equipment and/or materials in advance of meetings
Assist with various correspondence, including those of a sensitive nature
Assist in preparation and editing of presentation materials
Oversee events when needed; solidifying a date and location and preparing appropriate materials
Provide historical reference by developing and maintaining record keeping and filing systems relating to CCMO's projects and documents
Special projects as directed by the CCMO
May assist administrative team with administrative duties for coverage or as needed
Bachelor's degree or equivalent work experience in health or related field
A minimum of 5 years of dynamic administrative experience
Ability to organize and handle workload with attention to detail, and meet deadlines in a timely manner while demonstrating flexibility when priorities change
Proven capacity to exercise initiative, tact and confidentiality with a positive, service-minded approach
Display a high level of integrity and teamwork
Ability to anticipate needs, navigate priorities and resolve issues
Strong computer skills, including proficiency in Microsoft Office Suite
Professional written, verbal, and problem solving skills
Previous executive or senior leadership experience is desired
Experience working in an academic setting, preferably an academic medical center
Experience with Microsoft Outlook preferred
Experience using Concur, P-card reconciliation and procurement processes
Knowledge of Michigan Medicine policies and procedures
This is a full-time position. The core business hours are 8 - 5, Monday - Friday

The salary for this position will be based upon selected candidates education and experience.
Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
