Scilex is an early-stage company launching its first product. We are looking for enthusiastic and talented individuals who thrive on challenge and change, who can roll up their sleeves, put on multiple hats and have a can-do attitude without a lot of oversight or instruction.

We are looking for an experience executive assistant who can handle a face paced environment. The EA will perform office and administrative duties to assist executive team members. Screening calls, managing calendar, making travel, meeting and event arrangements. Preparing reports and financial date.



  • Supports the executive team

  • Manage complex calendars of the executive team

  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel

  • Coordinate executive communications, including taking calls, responding to emails and interfacing with clients

  • Maintain an organized filing system of paper and electronic documents

  • Prepare PowerPoint presentations

  • Provide support for special projects as requested

  • Takes minutes for leadership meetings and department meetings

  • Draft business correspondence

  • Uphold a strict level of confidentiality

  • Develop and sustain a level of professionalism among staff and clientele


  • Bachelor's degree

  • At least 4 years of experience supporting at the executive level, ideally in a medical products company


Experience scheduling travel arrangements for management

Self-motivated with a strong work ethic; dedicated to quality, quantity, and sense of urgency

Demonstrated ability to take initiative, anticipate needs and exercise independent judgment

Able to handle sensitive information with a high degree of confidentiality

Strong knowledge of MS Office software products, including Outlook, Word, Excel, and PowerPoint; plus, Adobe Pro, and ability to learn additional software products

Strong use of technology such as WebEx, Skype, computers, copy machines, printers, telephones, etc.

Exemplary communication skills in English (oral & written) with customers, vendors and employees

Excellent writing and grammar in English at the executive level

Outstanding attention to details and ability to multi-task

Extremely well organized

Works well with colleagues, friendly and approachable

Professional references required

Preferred but not require bilingual in Mandarin

Essential Duties and Responsibilities (other duties may be assigned): * Company Wide: * Follow all company and department policies and procedures * Adhere to attendance policy and report to work at scheduled time * Protect the Company's proprietary information * Propose ideas or find ways to improve services, systems, and/or procedures Department: * Manages calendar and schedule meetings using sound judgment in responding to invitations on behalf of senior leadership * Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information * Professionally represents the executive by attending meetings in the executive's absence; speaking on the executive's behalf when needed * Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries * Prepare and update PowerPoint presentations and Board decks * Maintain documents and file documents appropriately * Process and audit expense reports * Type, edit, and proof outgoing correspondence as needed * Maintain confidentiality of sensitive reports, presentations and documents * Collaborate with colleagues regularly to accomplish projects and tasks in the most efficient way possible * Anticipate and respond to changing situations * Special projects and other administrative duties as required * Provide backup to other admin team members as needed * All other duties as assigned Qualifications * To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
