The Executive Assistant provides dynamic, high-powered support to company executives by serving as a liaison and point person to internal and external stakeholders. The ideal candidate will be a strategic thinker, analytical, and self-directed. They will work independently on projects from conception to completion, and must be adept in handling a wide variety of activities and confidential matters with efficiency and discretion. The Executive Assistant will possess strong communication, administrative and organizational skills, along with a keen ability to maintain balance among multiple priorities in a fast-paced corporate environment.

Responsibilities and Duties

  • Provide holistic administrative support to senior leadership that encompasses the research, analysis, development, and execution of various projects and initiatives that align with business needs

  • Conduct needs assessments to analyze and prioritize conflicting business needs; handle matters expeditiously and proactively, and follow through on projects to successful completion while managing deadlines effectively

  • Maintain with discretion and diplomacy, all confidential information in an appropriate manner; independently handle queries, strategize appropriate course of action, and respond appropriately according to established procedures.

  • Lead all internal and external communication initiatives (content and development) from corporate office to all associates via various communicative mediums (written, audio, video, etc.)

  • Support senior leadership in all business critical management matters to include development and preparation of board presentations, compiling data, developing workflow, scripting, speeches, monthly committee meetings, etc.

  • Lead and manage all aspects of company and national conferences from inception to execution according to business objectives, to include proposals, analysis, budgeting, vendor and client relations, account management, timelines, operations, travel, etc.

  • Prepare reports, presentations, memos, emails, and general correspondence on behalf of senior leadership as requested

  • Calendar maintenance; internal/external meeting planning and execution to include agenda, logistics, and minutes; travel coordination, expense reports maintenance, etc.

  • Communicate, coordinate, collaborate and facilitate effective partnerships with other departments in order to effectively carry out responsibilities and complete projects

Qualifications and Skills

  • Strong organizational skills that reflect ability to remain flexible and prioritize multiple tasks seamlessly with excellent attention to detail.

  • Ability to take proactive approaches to problem solving, with strong decision-making and critical thinking capability.

  • Proven ability to handle confidential information with discretion, and demonstrate the highest level of credibility, trust and support with senior management staff.

  • Highly resourceful team-player, with the ability to also be effective independently

  • Excellent interpersonal and conversational skills; capable of building strong relationships with stakeholders including members of the staff, and external partners.

  • A consummate professional with business confidence and acumen, eminent communication skills, a can-do attitude, and the drive to go above and beyond

  • Excellent oral, written, and verbal communication skills.

  • Proven emotional maturity and polished demeanor

  • Strategic thinker with demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment

  • Proficient in full Microsoft Office suite (Outlook, Word, Excel, and PowerPoint)

  • Bachelor's Degree in relevant, related field

  • At least 8 years of relevant, related experience
