KSEA is currently seeking an Executive Assistant, Core Sales to join the Core Sales Department's Vice President/Executive's Group.
Reporting to the Vice President, Sales the primary responsibility of this role is to support the VP and provide high-level administrative assistance supporting the executive's objectives.
Key responsibilities will include, but may not be limited to:
Prepares working copy in advance for executive to update narrative.
May need to type report while executive dictates content.
Prepares PowerPoint presentations using template, following specific design and format guidelines established for a particular presentation.
Ensures that data projection equipment is ordered and available for meetings as required.
May respond to requests on executive's behalf.
Manages schedules and appointments.
Coordinates and/or prepares for key meetings led by or attended by VP.
Reserves meeting rooms and coordinates food and beverage for meetings through Corporate Meeting Coordinator.
Opens, date stamps, reads, sorts, prioritizes and organizes incoming mail for executive's review. Ensures that confidential mail is treated appropriately.
Sends and receives email on behalf of Vice President as directed. Assist the VP with management of the executive's outlook inbox and calendar.
Receives phone calls and takes messages or forwards calls. Maintains programmed number adds/deletes on fax machine.
Creates and maintains all VP's files.
Files correspondence and reports and maintains currency of chron file and VP's working files.
Collects and organizes the distribution of monthly reports.
Files and maintains currency of Outlook personal folder files for VP's email.
Orders supplies using good business judgment and fiscal management.
Creates expense reports and maintains expense report files for Vice President. Codes invoices for appropriate GL account and secures authorization signature.
Provides problem resolution on special projects as directed.
Troubleshoots and directs internal and external customer problems to the appropriate person/department for resolution.

Possess exceptional organizational skills and the ability to multi-task.
A minimum of 5 to 7 years of training or experience performing executive-level administrative duties and tasks.
Ability to manage meeting processes as well as analyze and summarize minutes taken during the meeting using a computer.
Flexible work style to accommodate changing priorities with ability to meet deadlines is essential.
Decision-making and problem solving skills are required.
Ability to work independently with little instruction.
Familiarity with and understanding of corporate Travel Policy.
Respects the confidentiality of correspondence and communications.
Anticipates and plans ahead.
Bachelor's degree or equivalent work experience.
