Ring is looking for a full-time Executive Assistant to support two of our Directors. The ideal candidate must be organized, detail-oriented, have a knack for problem solving, and enjoy helping others.
This person must understand business priorities, demonstrate the ability to proactively anticipate needs, and drive improvements to build capacity for the leadership team. They operate with a high-level of integrity and discretion when handling confidential information as well as professionalism in dealing with senior executives inside and outside of the company. The successful candidate will be an expert in completing complex tasks quickly with little to no guidance, reacting with appropriate urgency to situations that require a quick turnaround, and taking effective action without having to know the whole picture. This person must be able to work successfully in a team environment and build effective working relationships inside and outside the group.
Demonstrate an understanding of other managers' needs, preferences, and schedules in order to provide support when their primary assistant is out of the office.
Be proactive with an ability to anticipate needs.
Identify opportunities to improve work processes/flow to leverage you and your department's workload.
Stay up to date on internal administrative policies, practices, and guidelines.
Respond to internal and external queries concerning guidelines, procedures, or operations.
Aid in the management of calendars: plan, negotiate, and schedule meetings to accommodate managers and others. Use discretion and judgment to determine priority of meetings.
Coordinate meetings with internal associates and external contacts. Schedule meeting rooms, visitor passes, and equipment as required. Draft, collect, and distribute supporting documentation.
Manage complex domestic and international travel arrangements.
Complete business expense claims promptly and follow up on reimbursements if necessary.
Prepare presentation materials for meetings and executive forums, working with associates in other departments to gather data and trend information.
Create and maintain lists, files, and databases to enhance efficiency and productivity. Organize and maintain information that may be sensitive, confidential, or technical in nature.
Use knowledge of the function and manager's role to independently resolve issues for managers, escalating and redirecting more technical inquiries as appropriate.
Utilize time management and organizational skills to juggle responsibilities and strategize efficiency and priority.
Ability to grasp a high-level overview of charges' teams in order to make confident decisions regarding operations (e.g. space planning, offsites/events, facility, and admin needs).
Perform additional responsibilities and special projects as assigned.
Bachelor's Degree in a related field, or equivalent work experience.
2+ year of experience in an administrative role supporting multiple people.
Experienced use of MS Suite/ GSuite.
Experience using both Macs and PCs. Confident with great communication skills (written and oral), and a demonstrated ability to work collaboratively.
Ability to uphold a high standard of integrity and discretion while handling confidential information.
Willingness to accept and embrace change in a fast-paced environment.
Prior experience working in technical, entertainment, marketing, or advertising industries.
Ability to work in a fast-paced environment with little to no supervision.
Great work ethic accompanied by a get-it-done attitude.
