The Executive Assistant providesexecutive support and serves as the primary point of contact for internal andexternal parties on all matters pertaining to 2-4 executives. This positionhandles details of a highly confidential, critical and sensitive nature, andmust function efficiently and effectively in a professional, globalenvironment. This position is required to independently manage multiple tasksand projects with competing priorities and deadlines, screen and prioritizecommunications and opportunities from external and internal sources as well asorganize and maintain administrative processes.
Main Responsibilities Include
Provides administrativeassistance in the implementation of executive's activities andresponsibilities, proactively managing daily calendars, email and phonecommunications including calls back where appropriate.
Manages the daily evolvingcalendar of the executive, keeping appointments and meetings on time orchanging schedules when necessary, recognizing differing time zones of globalcolleagues, customers or contacts and arriving at the optimal schedule.
Anticipates business needsof the executive, both on a routine and a project basis; develops and maintainsa system that alerts executive to upcoming deadlines on requests or events.
Manages domestic andinternational travel arrangements and proactively coordinates the pre-planningof trips with various internal and external parties, including arrangingappropriate travel, visas, hotels, transportation, meeting agendas and necessarycontacts, as well as other information, including reservations, directions andtime zone adjustments. Prepares travel folders and related meeting materials.
Researches, creates andmaintains a file on all important relationships in advance of importantmeetings for current and future reference; gathers and prepares relevantinformation and collateral material for all meetings; works closely with staffto ensure timely provision of back-up and informational materials relevant tomeetings.
Ensures that variousadministrative tasks are performed in an effective and efficient manner,including copying, reviewing mail, drafting correspondence, screening telephonecalls as needed, and maintaining files as needed. Resolves routine to complexinquiries, working proactively and independently as well as exercising maturityand resourcefulness.
Maintains records andprocesses expense reports, invoices and any other requests for payment orreimbursement.
Performs other duties asassigned.
