About the Role!

The role of the Executive Assistant is to provide daily and on-going administrative support to senior level executive staff members within the Regulatory and Pharmacovigilance departments as required. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. The role will require the candidate to be extremely organized, have excellent oral and written communication skills, and be able to manage the needs of multiple constituents. The ability to excel in a fast-paced environment, sometimes under pressure, with a high level of professionalism is crucial to this role. The candidate must be able to handle multiple projects simultaneously while remaining flexible to shift priorities quickly. It is important that the candidate not only have strong working knowledge of MS Office but have advanced PowerPoint and Excel skills, including the development of complicated slides and presentations. International experience is a must.

To be considered, the ideal candidate MUST have pharma/biotech experience. Experience supporting Regulatory and/or Pharmacovigilance or other teams within Pharma/Biotech is required.

Responsibilities

Additional representative responsibilities will include, but not necessarily be limited to, the following:

  • Responsible for managing calendar, scheduling meetings, making travel arrangements, preparing expense reports including prioritizing and resolving related conflicts and competing demands while proactively scheduling important meetings with internal and external individuals

  • Facilitate Health Authoritiy meetings in the US and EU

  • Professionally interact with FDA, health authorities, legalities and other industry organizations regularly

  • Answer phones and direct all incoming calls to appropriate party promptly and efficiently

  • Preparation and revision of presentations including graphs, charts, interpreting conceptual designs to produce finished products using appropriate PC tools such as PowerPoint, Excel and Word

  • Producing meeting minutes from various kinds of industry gatherings and meetings

  • Preparation and tracking of budgets and vendor contracts; other projects requiring software/graphics expertise.

  • Setting up, maintaining files and general correspondence

  • Interfaces with other Executive Assistants to complete Corporate initiatives

  • Organizes both onsite and offsite meetingS

  • Arrange complex business travel on a regular basiS

  • Responsible for following-up on assigned tasks

  • Handle other responsibilities as assigned

Qualifications

About you!

Education/degree and experience, skill requirements:

  • A minimum of 6-8 years administrative assistant experience supporting senior leadership is required

  • High school diploma required; college degree preferred

  • Experience in the Pharma or Biotech industry IS REQUIRED including

  • Experience supporting Regulatory and/or Pharmacovigilance, Clinical, Medical Affairs or other teams within Pharma/Biotech is required

  • Experience supporting multiple executives is required

  • Deep understanding of pharmaceuticals/biotech industry and regulatory & drug development laguage and terms

  • Excellent calendar management skills necessary

  • Expert-level proficiency in MS Office (including Word, Excel, PowerPoint and Outlook).

  • Experience scheduling domestic and international travel arrangements

  • Exceptional verbal and written communication skills, including professional phone etiquette, are required

  • Ability to exercise discretion in dealing with confidential or sensitive matters is essential

  • Ability to multi-task and work effectively in a cross-functional manner and manage the needs of multiple constituents is critical

  • Highly motivated toward achievement and surpassing set goals with a desire to learn and take on challenging assignments

  • Ability to handle multiple projects simultaneously while remaining flexible to shift priorities quickly

  • Desire to excel in a fast-paced environment, sometimes under pressure, with a high level of professionalism is crucial to this role

  • Highly organized with a strong attention to detail, clarity, accuracy and conciseness.

Travel Requirements:

  • Up to 20% travel, both domestic and/or international is required

Overview About the Role! The Director, Regulatory Affairs will collaborate with Senior Director RA for providing technical regulatory input to cross-functional project teams for all early development project activities. Implements global regulatory strategies; ensuring that all regulatory requirements/commitments are met with respect to regulatory submissions (INDs, IMPDs, CTAs) and other regional submissions. This is a non-supervisory position. Responsibilities * Formulate & implement Regulatory plans to achieve efficient & competitive product development, working with regulatory senior management to define regulatory strategies * Provide regulatory input into cross-functional Project Teams for product development and submission activities * Responsible for the coordination and preparation of regulatory submissions consistent with regulatory requirements to meet corporate strategy & timelines * Provide regulatory review and approve of internal documentation supporting product development activities (e.g. clinical protocols, clinical study reports, statistical analysis plans, etc.) * Assist in communications with Regulatory Agencies * May act as primary contact for inquiries from regulatory agencies * Monitor the development of new requirements or regulatory procedures * In partnership with Regulatory Operations, ensure on-time submission activities related to regulatory file maintenance e.g. IND/CTA, information amendments, SAE reports, etc.) * Coordinate with consultants and CROs assisting with submission activities * Maintain regulatory project logs, tracking the submission status of reports and other regulatory activities Qualifications About You! * Bachelor's degree (scientific or clinical background desirable) required; advanced degree preferred * Minimum 6 years of Regulatory Affairs experience in the pharmaceutical or biotechnology industry required * Must have experience with creating and managing INDs/CTAs, Annual reports/DSURs, and IND/CTA information amendment submissions. Experience supporting marketing authorization applications (e.g. NDA, NDS and MAA) a plus.
