We're seeking a high-energy, driven, proactive, and professional individual who takes initiative and can represent CLEAR flawlessly.

What You Will Do:

  • Own our office's reception area and act as our office's first touch point

  • Provide executive support for Senior Leadership Team

  • Ensure that all meetings start and end on time and help ensure the productivity of meetings

  • Manage and submit expense reports

  • Heavy communication internally and externally

  • Maintain kitchen spaces and conference rooms

  • Coordinate internal and external meetings for multiple executives

  • Manage the booking of multiple conference rooms

  • Sort and distribute mail and packages

  • Travel booking, calendar support, and processing expense reports for senior leaders as needed

  • Greet and announce visitors

  • Answer and field incoming calls

Who You Are:

  • Impeccable customer service skills

  • Minimum of 3 years of executive assistant/receptionist experience

  • Exemplary written and verbal communication skills

  • Ability to multi-task and meet deadlines; you thrive in a fast paced environment

  • Resourceful, extremely organized, detail oriented, and a team player

  • Proficient in Microsoft Office and/or G-Suite a plus

  • Scrappy, unflappable, dynamic

  • Motivated, driven and a self-starter with a can-do attitude

  • Bachelor's Degree

Responsibilities * General administrative duties including managing calendars, answering phones, travel arrangements, preparing expense reports, reconciling monthly credit card expenditures, organizing conferences and large group meeting * Maintain up-to-date awareness of the executives' obligations in order to proactively assist and/or anticipate needs. * Serve as liaison between executive staff and other Engine divisions and companies. * Participate in coordinating operational activities and corporate events within and outside the organization. * Draft correspondence, internal memoranda and e- mail communications. * Maintain highly confidential client files and contact records. * Submit travel and other business-related expenses for reimbursement, consistent with company policies. * Greet and assist visitors and key clients by providing administrative support as necessary, including travel, hotel accommodations, and restaurant reservations, etc. * Be proactive and stay informed of company administrative policies and issues. * Provide assistance on research projects and other projects as need. * Provide support to Facilities team and rotate reception area coverage. * Perform other administrative responsibilities as needed. Qualifications * Bachelor's degree and related experience required. * 3 - 5 years' experience as an administrative assistant. * Candidate must be able to work independently while managing multiple projects * Self-starter with the ability to prioritize, organize and establish administrative procedures. * Ability to handle confidential information and interact with high-level executives.Ability to work in a high pressure and dynamic environment while maintaining a calm demeanor. * Ability to think through, evaluate and solve problems logically. * Ability to organize work effectively in order to meet deadlines. * Conduct all matters in a professional and courteous manner. * Flexible schedule required. * Impeccable oral and written communication skills are a must. * Must be extremely organized, detail-oriented and a team player. * Proficient on PC and Mac, with solid skills in Microsoft Office.
