The Executive Assistant position is critical for the smooth and efficient functioning of the CEO office, which oversees the strategic direction and performance of the company. In this role the selected candidates will provide proactive, highly organized, and efficient administrative support to our CEO and a few members of the CEO Staff. The ideal candidate will have exceptional administrative skills, strong attention to detail, and the ability to handle multiple tasks simultaneously in a fast-paced environment with a can-do attitude. This is a full-time position based at our office in Burlington, MA with an option of working from home on some days.

WHAT YOU WILL DO IN THIS ROLE:

  • Work closely with the Chief of Staff, other Executive Assistants and direct reports to the Executives to ensure alignment and collaboration across the CEO office and the company.

  • Calendar management and scheduling across multiple time zones. You will need to be able to gain an understanding of the Executives' priorities and preferences, working with discretion and the ability to prioritize. Desired calendar management activities include managing conflicts, planning and the ability to communicate changes promptly, staying proactive on monitoring and maintenance.

  • Travel arrangements, both domestic and international, working with the Travel agency in managing Visa applications for the Executives

  • Support the Executives in other administrative tasks such as submitting expenses in line with corporate guidelines, purchasing items or gifts for the team, ensuring any manual mail distribution lists are up to date for the team, and other tasks as needed by the Executives or the management team

  • Support the Executives in preparing and reviewing documents, presentations, reports, and correspondence, ensuring accuracy, clarity, and consistency

  • Support the Executives in facilitating and coordinating meetings, including those for Executive 1x1 meetings, assisting in coordination of any major events or Executive visits to our offices

  • Support the Executives in the agenda organization and content for their organization Town Hall meetings, coordinate speakers for this meeting and other speaker series as required

  • Assist in maintaining the SharePoint Site for team files; proactively identify opportunities for improving the efficiency of the file management based on the changes in the business/teams they support

  • Assist with maintaining the Internal Intranet pages for their teams

  • Team event planning, including planning/set up, materials preparation, and coordinating with catering, facilities, and IT to drive the logistics for the events

TO BE SUCCESSFUL IN THIS ROLE, WE NEED SOMEONE WHO HAS:

  • Experience in administrative support of senior executives in a fast-paced technology company

  • Knowledge of Office 365 to an advanced level in SharePoint, Outlook, Word, PowerPoint, Excel, and Teams (certifications a plus)

  • Initiative-taker, proactive, detail-oriented

  • Comfortable interacting with all levels within the organization

  • Ability to manage highly confidential information and sensitive situations with the utmost discretion

  • Trustworthy and ethical with strong interpersonal skills

  • Demonstrates outstanding judgement and professionalism

  • Ability to communicate in a clear and thorough manner

  • Flexibility to adapt to changing priorities and deadlines

  • Ability to be in the office 2-3 days, with the potential for up to 5 days occasionally based on executive needs

  • Experience in managing tasks in Asana or a similar task tracking tool
