We request that this professional be onsite at our offices on 333 Bush Street, San Francisco, whenever the leadership is at the office, which is typically at least three days per week (Mon, Tue, and Thursday).

We are searching for a passionate, and agile Executive Assistant to join Productboard, supporting Jeff St. Clair, President. In this role, you'll help build, refine, and enable best-in-class leadership support. We're looking for a positive, empathetic, and optimistic person, who is a decisive problem solver, an organized project manager with a "get it done" attitude and someone who will thrive in a fast-paced, sometimes ambiguous environment.

On a typical day, you will

  • Manage a lively and constantly evolving calendar.

  • Keeping executive staff meeting minutes and agendas.

  • Act as gatekeeper, time advocate, and liaison creating efficiency and balance for your leaders' schedule.

  • Coordinate internal and external meetings including but not limited to team meetings, off-site, one-on-ones, speaking engagements, and personal engagements.

  • Working closely with the Executive team, helping drive cross-functional projects and associated timelines.

  • Working with the executive team to facilitate the deliverables on key executive staff projects.

  • Manage the tracking and progress of quarterly OKRs.

  • Offer coordination support for any candidate interviews as needed.

  • Book all domestic and international travel, taking into account costs, and proper documentation for any international travel using Navan or airlines directly (for both professional and personal travel).

  • Handle multiple requests for the Executive's time, utilizing strong judgment in prioritizing requests.

  • Format documents and presentations.

  • Be a culture-contributor: highlight, and celebrate important team cultural/career moments such as birthdays and work anniversaries for our Executive team as well as special personal life celebrations.

  • Adapt to a fast-paced, constantly evolving environment.

About you

  • BA/BS or equivalent experience.

  • 5+ years of experience as an Executive Assistant, supporting senior executives.

  • The ability to build strong relationships and a personal network throughout the company (both in-person and remotely).

  • Excellent calendar management skills, including the coordination of sophisticated meetings.

  • Skillful execution of administrative activities, organization, and process.

  • Adaptable and able to work with limited information and ambiguity.

  • Strong self-starter that can take a task and run with it with limited supervision from the executive.

  • A proactive approach to problem-solving, helping to anticipate problems and/or needs.

  • Able to maintain high levels of confidentiality.

  • Creative problem solver able to think in an unexpected way.

  • Availability to perform job duties outside of normal business hours when vital (weekends/evenings).

  • Very strong communication and social skills.

  • Solid understanding or ability to very quickly learn G Suite, Slack, Notion, Zoom, and Navan.

Salary range: $107,200 - $142,000. The pay range for this job level is a general guideline only. Multiple factors, such as your location, experience, depth of knowledge, as well as internal equity, may be considered in extending an offer.
