Summarized Purpose:

Provides senior-level administrative support for a department or manager (associate director and above), effectively managing the day-to-day administrative functions including planning, organizing and scheduling.

Essential Functions

  • Composes, copies and distributes correspondence and memoranda, reports, documents, forms and tables as requested

  • Inventories, orders and distributes office supplies

  • Sorts and distributes incoming mail, correspondence and other printed material

  • Maintains calendar of the manager and ensures the manager remains on schedule and properly prioritized throughout the day given the changing business requirements

  • Arranges travel schedule and reservations and prepares expense reports and ensures submission in a timely fashion

  • Coordinates details of onsite and offsite meetings and conferences including catering needs

  • Collects, compiles and prepares presentations, reports, meetings agendas and other documents; establishes, organizes and maintains files.

  • Cooperates and coordinates with administrative assistants in other departments to handle temporary work overloads and fill in for temporary absences.


Education and Experience:

  • High school/secondary school graduate or professional certification

  • Previous administrative experience (comparable to 2-6 years)

  • Or, an equivalent combination of education, training and experience that provides the knowledge, skills and abilities to perform the job.

Knowledge, Skills and Abilities:

  • Good knowledge of company operations, policies and procedures.

  • Strong Microsoft Office skills.

  • Strong communication, organizational and interpersonal skills.

  • Ability to identify and set priorities and effectively perform a variety of task simultaneously.

  • Ability to deal professionally with highly confidential information and matters.

  • Strong attention to detail and accuracy.

  • Positive attitude and ability to work effectively with others at all levels of the organization.

Working Conditions and Environment:

  • Work is performed in an office or clinical environment with exposure to electrical office equipment.

  • Occasional drives to site locations. Potential occasional travel required.

Physical Requirements:

  • Frequently stationary for 4-6 hours per day.

  • Repetitive hand movement of both hands with the ability to make fast, simple, repeated movements of the fingers, hands, and wrists.

  • Occasional mobility required.

  • Occasional crouching, stooping, bending and twisting of upper body and neck.

  • Light to moderate lifting and carrying (or otherwise moves) objects including luggage and laptop computer with a maximum lift of 15-20 lbs.

  • Ability to access and use a variety of computer software developed both in-house and off-the-shelf.

  • Ability to communicate information and ideas so others will understand; with the ability to listen to and understand information and ideas presented through spoken words and sentences.

  • May interact with others, relating and gathering sensitive information. Interaction includes diverse groups.

  • Works with guidance or reliance on oral or written instructions from management. May require periods of intense concentration.

  • Performs a wide range of variable tasks as dictated by variable demands and changing conditions with little predictability as to the occurrence. Ability to perform under stress. Ability to multi-task.

  • Regular and consistent attendance.

As a Talent Acquisition Executive Admin, you will support all aspects of recruitment coordination and administration for your assigned client group(s); as well as handling telephone and e-mail liaison with hiring managers, administrative assistants, recruitment partners, candidates and other external stakeholders and suppliers where appropriate. You will be accountable for supporting the recruitment services delivery in the US. This role involves engagement with internal parties (IT, Facilities, Security and etc) and external parties (such as Search firms/agencies, travel arrangements) who support some of our hiring activity. Role and Responsibilities: In this role, you will be expected to: Deliver Excellence in HR: Ensure accurate and high-quality data is maintained in WDR to enable production of meaningful performance reports and Management information. o Interview Scheduling o New Hire Orientation o Accountable for ensuring any candidate action taken is reflected in the correct Workday status 100% of the time Ensure compliance to Global Talent Acquisition Processes and Standards o Are fully aware of and compliant with Processes and Standards and know how to access documentation, training materials and support Deliver Customer Service: Ensure a high level of candidate and stakeholder satisfaction at all times o Ensure interview schedules and travel are organized effectively at all times ensuring all logistics are without discrepancy or error, o Interview expenses to be processed within 3 working days of candidate interview attendance for exec positions Be an ambassador of Employee Brand and social media: Drive this through talent acquisition to embed our new model and make a meaningful difference to our EB efforts: o Own the entire New Employee Orientation process from end-to-end as well as present. o Interview scheduling process from end to end o Prior experience in presenting information to new hires is preferred In this role, you will provide critical support to recruitment partners, hiring managers and candidates through: * Delivery of an excellent and impressive experience with New Employee Orientation for both candidates and hiring managers. * Accurate collection of information and proper use of the systems that will be deployed throughout HR to support the recruitment processes. * Support HR, recruitment partners and line managers with the hiring processes and activities where required, including compilation of interview guides and other relevant information. * Working with Executive Administrators from other countries to ensure that Global Postings are completed in a timely manner. Essential Requirements: * Bachelor's degree BA/BS or related * A strong track record of recruitment services delivery as a HR/Recruitment administrator, practitioner, specialist or generalist. * Knowledge of policies, process and procedures pertaining to recruitment (including relevant labor and country -- e.g. EEO/AA, immigration - laws). * Strong administrative/organization skills, with proficiency with Microsoft Office and other business tools and software (e.g. HR Information Systems and Applicant Tracking Systems) * Well-developed people skills and ability to engage, communicate and work across local and regional Recruitment and HR teams, major stakeholders and other internal clients. * Ability to multi-task and balance competing priorities in a fast-paced environment.
