Job description:
This is an exciting opportunity to join a highly successful company. Your role will be to provide executive and personal assistance to a Partner & Senior Portfolio Manager with responsibility for managing all aspects of their corporate life and some aspects of their personal life.
Responsibilities:
Coordinate all aspects of the executive's calendar, including providing availability, managing conflicts, and scheduling meetings.
Manage inboxes and file emails throughout the day, flagging important tasks requiring action and ensuring timely responses.
Maintain frequent communication throughout the day, especially when Partner is traveling, to ensure he remains updated.
Serve as the primary communication link between Partner and his extensive network, including managing and tracking all forms of communication.
Manage all aspects of travel arrangements, including researching and booking flights, hotels, and ground transportation. Coordinate changes to travel plans as needed and track cancellation policies.
Prepare and submit expense reports for approval and reimbursement.
Attend key meetings, take detailed notes, and oversee follow-ups to ensure project continuity.
Perform day-to-day tasks as needed, such as booking conference rooms, handling lunch arrangements, and ensuring timely attendance at meetings.
Research and book restaurants/events for executive and family and manage other aspects of their personal social calendar.
Handle specific personal tasks such as property management, including liaising with realtors and managing financial aspects.
Manage medical insurance and commuter benefit reimbursements.
Manage vendor relationships and payments, and plan recreational activities.
Required qualities and skills:
Bachelor's degree
At least 5 years of EA/PA experience
Strong organizational and time management skills
Friendly and calm under pressure
Outstanding written communication skills, capable of articulating complex ideas clearly and interacting effectively with various stakeholders
Strong work ethics with a professional attitude
Excellent communication and interpersonal skills
High attention to detail
Flexibility to adapt to changing schedules and priorities
Pay range in New York
Exact compensation may vary based on skills, experience, and location.
Base salary- $90-125k
