The Executive Assistant will be responsible for providing high-level administrative support to Pet Food Experts President and CEO, other members of the leadership team, and the board of directors. The Executive Assistant will play a critical role in ensuring smooth operations, facilitating effective communication, and managing various administrative tasks to enable our executives to focus on strategic priorities. This position will be based in person at Pet Food Experts headquarters in Pawtucket, RI.
Key Responsibilities:
Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, arranging travel, and preparing correspondence.
Assist key leadership team members with administrative tasks, including coordinating meetings, preparing presentations, and managing communication with internal and external stakeholders.
Serve as the primary point of contact for coordinating board meetings, preparing meeting agendas and materials, and ensuring timely distribution of information.
Manage incoming communications, including emails, phone calls, and mail, prioritizing and responding to inquiries on behalf of the CEO and leadership team.
Maintain and organize electronic and physical files, ensuring accuracy, confidentiality, and accessibility of information.
Assist in the coordination and execution of special projects, initiatives, and events as assigned by the CEO and leadership team.
Provide general administrative support, such as preparing expense reports, managing office supplies, and coordinating office logistics.
Identify opportunities to streamline processes, improve efficiency, and enhance the overall effectiveness of administrative support functions.
High profile meeting and event planning including securing location; ordering food, beverage and supplies; liaising with attendees; preparing communications, materials and minutes; and any other assistance that may be required
Administers and oversees the organizations travel program and 3rd party travel platform
Oversee the building and office operations of our HQ office
Required Capabilities:
Handle sensitive information with discretion and maintain confidentiality at all times.
Build and maintain positive relationships with internal and external stakeholders, including executives, board members, clients, and partners.
Reflects the reputation of the Senior Management Team offices through professional, discreet and respectful interactions both internally and externally
Must be able to shift focus quickly when required and have the ability to turn on a dime in a fast paced environment
Preferred proficiency with Google Suite applications (Gmail, Google Docs, Google Sheets, Google Slides) and other relevant software applications (i.e. Microsoft Office)
Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
Strong interpersonal and communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
Attention to detail and high level of accuracy in all work.
Proactive problem-solving skills and ability to anticipate needs
Minimum Requirements:
Bachelors degree in a related field preferred
10+ years of executive assistant, administrative or related experience
Minimum of 3 years experience directly supporting a CEO and/or Board of Directors
Schedule: Monday-Friday, 8:30am-5:00pm, Minimum of 4 days in office
