We are looking for an experienced and self-motivated individual to fill the position of Executive Assistant located at our corporate headquarters in Dallas, Texas.

Essential Job Duties:

  • Provide administrative support for the President with a high level of trust and confidence.

  • Schedule and organize activities such as meetings, travel, and department functions.

  • Organize and prioritize large volumes of information and calls (internal and external).

  • Work independently and within a team on special, nonrecurring, and ongoing diverse projects. Act as a project manager for special projects, which may include planning and coordinating multiple presentations, disseminating information, and organizing events.

  • Must develop and acquire working knowledge of department systems administration, policies, procedures and practices.

  • Maintain a close working relationship with other functional organizations, manufacturing facilities and key outside contacts for the manufacturing team.

  • Maintain a close working relationship with all members of management and have knowledge of company activities on a corporate level.

  • Prepare monthly budget reports through the SAP system

  • Update and maintain department Teamsite

  • Assist in development of key presentations and other digital plans.

  • Must be able to independently problem solve, research and manage sometimes ambiguous tasks with limited guidance.

  • Minimum high school diploma or equivalent.

  • Minimum 5 years' experience of manager/director level administrative support or equivalent competencies.

  • Must have high level of interpersonal skills to handle sensitive and confidential situations.

  • Must be able to interact and communicate with individuals at all levels of the organization and with key customers.

  • Highly effective team player with strong interpersonal and administrative technical skills.

  • Capable of organizing and prioritizing heavy and diverse workloads with accuracy and minimal supervision while meeting critical deadlines.

  • Detail oriented and organized.

  • Ability to manage conflicting priorities.

  • Strong customer focus.

  • Strong written and oral communications skills.

  • Exhibit a high level of personal drive and initiative.

  • Ability to work overtime as needed.

  • Advanced level of proficiency in PC applications and operating systems including Microsoft Office Products (Excel, Word, PowerPoint, Access, and SharePoint).

Additional Desired Qualifications:

  • Associate's Degree or higher in Business or other related field is preferred.

  • Familiarity with SAP.

Key Responsibilities: * Maintain Outlook calendar including meeting invites for CNO and Enterprise Senior Director (you will be the owner of this) Heavy calendaring required with high level execs * Under minimal supervision provides high-level administrative support to executives and Clinical Services Team Members * Coordinate all domestic travel arrangements and input into Outlook calendar, including transportation, hotel, etc. over multiple time zones * Ability to self-manage in ever changing environment * With minimal supervision, exercises independent discretion and judgment to solve complex problems regarding projects, calendar, and meetings * Proactive partner that takes the lead to get things done and hit deadlines * Knowledgeable in Concur online expense system - Complete/process expense reports * Coordinate conference calls, meetings, prepare agendas, recaps, etc. * Being flexible with constant changes. * Must be able to work in a participative team culture * Work with Executive Assistant team to ensure smooth flow of information * Act as a liaison between the Executive and other teams and individuals * Professionally interacts with all internal and external sources, often at upper and executive-management level * Able to communicate and display professionalism with C-Suite. * Excellent communication skills required * Assist with office duties as needed Skills Required Total education, vocational training and experience: * A minimum of 5 years executive assistant experience is required. * Bachelor's Degree Preferred * High School Diploma Required * Advanced skills in Microsoft Outlook, Word, Excel, and PowerPoint are a must * Concur Expense Reporting preferred but not required * Technologically savvy * Strong time management skills * Ability to effectively present information and respond to questions.
