Provides assistance and support services to the President and CEO of the Bank. Performs a wide variety of complex administrative tasks requiring initiative, independent judgment and extensive working knowledge of the organization. Work entails dealing with a variety of individuals including executive management, board of directors, staff reporting to CEO, members of Opus Bank at other locations, as well as interacting with outside parties of other financial institutions and other companies, prospects and clients of the Bank, while exercising a high degree of discretion and tact in all communications. The individual must possess ability to observe strict confidentiality.
Performs advanced, diversified and confidential secretarial and administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and practices.
Understands the role of the President and CEO within the Bank and the relationships, work flow and procedures for departments reporting to the CEO, as well the business line units of the bank (Commercial Real Estate Banking, Commercial Business Banking, Retail Banking and Treasury Management).
Works without direction and is capable of independent decision making.
Tasked with keeping CEO abreast of any matters of concern or interest throughout the bank.
Creates and maintains CEO's calendar and updates and prioritizes calendar as necessary.
Makes transportation and travel arrangements for CEO.
Acts as liaison between CEO and staff/departments reporting to CEO.
Will attend meetings on behalf of the CEO as requested.
Keeps CEO up-to-date regarding internal issues and concerns.
Assists CEO with or has responsibility for special projects.
Composes and may initiate routine correspondence and memoranda on behalf of the CEO.
Creates, organizes and maintains a variety of files, records and manuals.
Plans events as needed, including reserving appropriate meeting space, catering and audio visual needs.
Maintains membership for CEO in professional organizations.
Creates and tracks invoices and expense reports as needed.
Responds to and initiates telephone calls on behalf of the CEO.
Screens telephone calls and visitors.
Resolves routine and complex inquiries.
Will perform personal tasks as required for the CEO.
Knowledge and Skills:
Working knowledge of bank policies and procedures with ability to understand and interpret clearly and accurately.
Ability to compose written material, including reports and communications for the clear understanding of others.
Excellent knowledge of business English.
Thorough knowledge of modern office practices and procedures and the use of office machines, computer equipment, e-mail and the Internet.
Current computer skills in word processing, spreadsheets and computer presentation applications.
Strong facilitation, organizational and verbal communication skills.
Excellent interpersonal skills with ability to deal effectively with employees, clients, business professionals and governmental officials.
Ability to establish and maintain effective working relationships.
Ability to use good judgment in recognizing scope of authority in responding to inquiries.
Ability to produce high quality work without immediate supervision.
Education and/or Experience:
Minimum 10 years administrative assistant experience (include at least 5 years of formal Executive-level support).
Bachelor's degree in business administration, communications, or related field preferred.
