EverCommerce is looking for an Executive Assistant & Operations Coordinator to join our team! Working directly for the President, you'll also provide support for the day to day business operations in our downtown office. What You'll Be Doing:

  • Work directly for COO/President with tasks including managing and maintaining executive schedules, appointments, and travel arrangements

  • Organizing professional projects with wide range of goals/objectives

  • Arrange and coordinate meetings and events, including all scheduling and set-up needs

  • Work closely and collaboratively with our CEO's Executive Assistant, HR, IT, Operations, and other teams on various programs and tasks

  • Liaise with internal staff at all levels

  • Complete additional administrative tasks as needed

Additional Office Responsibilities:

  • Greet, welcome and assist visitors in person or over the phone

  • Order/monitor supplies

  • Work with the building management on any building issues/needs

  • Keep the kitchen, reception area, conference rooms, and other areas organized and tidy

  • Pick up mail and receive/coordinate shipments and deliveries

  • Assist in planning and managing events

Desired Skills & Qualifications:

  • Bachelor's Degree

  • 5+ years of experience in operations, event planning, or a related administrative field is preferred

  • Ability to work nights and weekends occasionally

  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite

  • Amazing energy and magnetic personality, with the ability to connect with people

  • Possess a friendly, upbeat, positive, 'get it done' attitude

  • Tested ability to be discreet and protect confidential information

  • Organized, detail-oriented individual capable of meeting deadlines on a daily basis

The Health Programs Office (HPO) is responsible for the administration and performance of Medicaid and CHP+ acute care programs and program innovation. The programs include both physical health and behavioral health and span the managed care continuum from fee-for-service to fully capitated risk programs. Staff within the Office are responsible for stakeholder relations, policy development and implementation, contract management and performance, program administration and overall Medicaid program performance. The Office plays an important role in working toward the Department's mission to improve access to cost-effective, quality health care services for Coloradans. Description of Job What You'll be Doing This position supports the daily operations of the Health Program Offices and the Office Director. Primarily responsible for supporting HPO to include replying to communication and coordinating schedules with both internal and external stakeholders. Position provides contact with outside clients, providers and stakeholders associated with the Department and its constituents. This position is responsible for coordinating and scheduling meetings and conference calls for various work groups such as attending meetings to provide administrative assistance with event set-up/room reservation including resolving reservation conflicts. Position sets up conference rooms and audio/visual (AV) equipment, takes notes, organizes and dispenses print materials, and obtains and organizes contact information for meeting participants. This position is responsible for assistance with contract management activities aligned with the Office such as paying invoices and leading the contract clearance process including entering information into CORE. This position prepares reviews, edits, and finalizes all Office budget and travel-related expenditures such as expenditure reconciliations, receiving reports, and records according to appropriate Department standards. This position provides accurate and timely processing of documents and information including project tracking and completing reports. This processing includes first-line processing of all incoming documents and end-line processing of all outgoing documentation, maintenance of contact information, photocopying, filing, office supply ordering, word processing, web posting, and simple data entry. This position creates and monitors both paper and SharePoint eClearance documents, ensuring all required signatures are obtained and track the clearance document through to completion. This position writes and edit materials, organizing and updates the Office SharePoint page and advance the Office projects. Minimum Qualifications Experience: Five (5) years of general clerical or administrative service experience, which must have included at least one (1) year of professional executive assistance experience (supporting a CEO, CFO, or high-level government position), making decisions and acting on behalf of management. Substitutions College, university or non-correspondence business school course work may substitute for experience on a year for year basis for up to two years of the general experience.
