The role requires a high degree of emotional intelligence and sophistication in managing this high profile office independently. The CEO may be out of the office 30-60% of the time. This individual holding this position will effectively manage a wide range of administrative, and executive support related tasks, as well as more complex project management tasks working independently with little or no supervision. The individual will interact with senior executives, physician leaders, presidents and CEOs of other health systems, elected officials, major donors, board members, and community leaders. The individual will project and deliver the same degree of professionalism and sophistication as the CEO would personally. The successful individual will be able to manage the administrative roles such as scheduling, travel, reimbursement etc. efficiently such that the majority of the individual's time will be available for more complex functions. This individual will act as a central point of contact for other departmental Associates and as a liaison for other ET offices. II. Essential Functions – * Manages CEO priorities in planning, communication and coordination of departmental activities and will be the gatekeeper of daily schedule, telephone and written correspondence, meeting requests, follow-up meetings * Sets up departmental meetings including agendas requiring knowledge of the purpose of the meetings, organizational priorities, and confidentiality. Ensures that appropriate parties are included in the meetings. Ensures that attendees know of any pre-meeting work required. Compiles pre-meeting materials. Follows up as needed. * Demonstrate the insight and sophistication to construct and alter meetings such that all relevant individuals are included to accomplish the goal of the meeting with maximal efficiency and minimal likelihood of the need to schedule additional meetings. This may include proactively modifying requested meetings. * Prepare, proofread and edit all outgoing correspondence for the CEO's signature. This includes correspondence for internal and external distribution with impeccable attention to style, grammar, and syntax. * Prepares reports and presentations both for the executive and others as well as for own activities. Frequently assigned projects requiring research, gathering data, and reporting on results. For example, participating in and being assigned an objective as part of the department's Strategic Management System activities. * Maintains records for budget and other activities such as purchase orders and accounts payable requests, travel records, confidential reports. Prepares expense reports for travel and meetings. * Represents the CEO in managing both Nemours associates and external parties. Answers questions and addresses problems independently and determines to whom to refer issues. Keeps the CEO appropriately informed of relevant issues by demonstrating the discretions to determine the importance and urgency or issues. * Prepare the CEO for all internal and external meetings including compiling all relevant information and insuring this is available prior to the meeting by working with all individuals involved in meeting preparation to gather all documentation necessary for a successful meeting * Manage sensitive and highly confidential correspondence appropriately * Ensures departmental Associates are aware of activities, meetings, policies and procedures. * Arrange travel for executive and others as needed. Coordinate travel with other executives as necessary. * May supervise other clerical/administrative Associates including recruiting, training, coaching and counseling, and disciplining as necessary. * May perform other functions to support the overall organization such as being responsible for policies and procedures, including writing, revising, communicating and maintaining records. (These are not Nemours-wide policies, but Hospital specific.) Requirements: Associate's degree required, or 8 plus years previous experience supporting executive leadership in lieu of education. Bachelor's degree preferred. 5 years of previous experience supporting executive level management required; within a health system preferred Excellent computer, power point and excel skills Excellent customer service, time management and organizational skills.
