The main duties will include general office support, processing invoices, answer phones, greet clients and customers. Other duties assigned will be helping with modifying graphics for marketing material, working on excel, creating letters, and dispersing incoming/outgoing mail.

Requirements
5+ years administrative assistant experience. Experience providing executive level assistance is preferred where you made travel arrangements, filed expense reports, etc. Excellent written and verbal communication skills. Advanced Microsoft Word knowledge. Advanced Microsoft Outlook knowledge. Intermediate Microsoft Excel knowledge.

These will include scheduling, travel arrangements, planning and execution of events, preparation of correspondence, reports and other documents. Also assists with the community service activities of the Executive Vice President. This position works closely with all managers and executives of BH Media Group and its affiliates, as well as administrative assistants in the company. ESSENTIAL JOB FUNCTIONS 1. Prepares correspondence with proper form, grammar, sentence structure and punctuation. 2. Must perform job with complete discretion and confidentiality. 3. Maintains scheduling calendar and keeps up-to-date contact list for Executive Vice President. 4. Plans special events (i.e. dinners, seminars, etc.) as directed by the Executive Vice President 5. Maintains filing system for Executive Vice President, including general filing, project files and other recordkeeping. 6. Makes travel arrangements as directed and submits expenditure reports in a timely manner. 7. Obtains pricing and procures offices supplies and equipment, as directed. 8. Answers telephones and greets guests in the executive offices with a businesslike and friendly disposition. 9. Maintains a professional appearance at all times while working. 10. Distributes mail and other materials, as required. 11. Must communicate clearly and effectively, both on the telephone and in person. 12. Must be able to respond to emergencies at all hours. 13. Must possess a high energy level and ability to work varied schedules and endure potentially high-stress situations. NECESSARY KNOWLEDGE, SKILLS, AND ABILITIES: 1. Ability to organize and coordinate management information. 2. Strong oral and written communication skills. 3. Computer literate with knowledge of Microsoft Office: Windows, Word, Excel, Outlook, Powerpoint, SBS, DayForce and the ability to adapt and learn new applications. 4. Positive liaison with customers, staff and other departments/divisions. 5. Diplomatic and resourceful in resolving customer or other problems. 6. Self-starter and the ability to get things done through others. 7. Analytical aptitude, loyal and trusted to handle confidential information. 8. Must be able to type at least 50 WPM and possess the necessary dexterity for these functions. 9. Must possess a good command of the English language, including sentence structure, use of grammar, as well as written and oral communications. 10. Must possess good organizational, prioritizing, decision-making and problem-solving skills.
