OfficeTeam has a new and exciting opportunity in the downtown area of Pittsburgh PA! Our client is looking for a talented and experienced executive assistant!

This is a full-time temporary-to-full-time opportunity operating on a Monday through Friday schedule between the hours of 8:00AM ? 5:00PM. The candidate must possess at least 5 years of direct experience supporting a president or vice president. The responsibilities of the role include telephone work, email correspondence, travel organization, preparation of expense reports, and calendar management. Experience with Microsoft Office is a must, including Excel, Word, PowerPoint, and Outlook.

Requirements
This position would be starting sometime in early October of 2018. We are looking for a candidate who fits the following criteria: - A ?go getter? who can work independently and is not afraid of a new challenge

  • Reliable with attendance, willing to put in extra hours if needed (come in early, stay late, hold the phone on weekends) Parking will be provided for candidate who opts to drive to the site. VIEW JOBS 1/11/2019 12:00:00 AM 2019-04-11T00:00 Description Purpose: UPMC is looking for a driven Executive Assistant II to make an immediate impact reporting directly to the Vice Chair of Radiation Oncology, for UPMC's Cancer Centers. A passion for service excellence, impeccable communication skills, meticulous attention to detail and organizational skills are extremely important for this role. This Executive is administrative and clinical so the responsibilities of the assistant will vary. This role will involve scheduling, handling travel arrangements (domestic and international), coordinating monthly Deptartment staff meetings and preparing catering if needed, create and prepare the department newsletter, take meeting minutes, prepare PowerPoint presentations, and also prepare letters for distribution, This role will also involve aqcuiring CV, update the physician's CV, as well as preparing manuscripts and submitting them. This role will have interaction with many parts of the institution at the executive level. This person wont necessairly be the primary scheduler for clinic but will work with those who do schedule. This is a Monday through Friday, daylight role. Apply today Responsibilities: * - Answers phones and directs all incoming calls to appropriate party promptly and efficiently * - Arranges travel schedule and reservations for executive management as needed * - Compiles information for the timely preparation of reports and distributes to appropriate individuals within established timelines * - Interacts with staff at all levels in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality * - Maintains accurate filing systems with the highest regard for confidentiality, organization, and timely retrieval of documents * - Prioritizes and manages multiple projects simultaneously, and follows through on issues in a timely manner * - Processes incoming and outgoing mail. Maintains confidentiality of mail addressed to the president * - Records and distributes minutes and other relevant information to appropriate participants in a timely manner * - Responsible for calendar management, requiring interaction with both internal and external executives and assistants to coordinate a variety of complex executive meetings * - Uses sound judgment and knowledge of UPMC and its policies and procedures to respond to questions, requests, or needs Qualifications * High school diploma or equivalent * Eight years of experience in an increasingly responsible administrative support role * Five+ years experience with support at the executive level * Demonstrates proficiency in core MS Office applications, including Word, Excel, PowerPoint, and Outlook * Excellent calendar management skills, including the coordination of complex executive meetings * Experience assisting management with the creation of PowerPoint presentations * Experience scheduling travel arrangements for management Licensure, Certifications, and Clearances: * Act 34 Criminal Clearance UPMC is an equal opportunity employer.
