The Opportunity You will work closely with and support our Managing Partner of Ventures and our VP of People. You will manage administrative operations and provide administrative and personal assistant support to two senior executives, including coordinating domestic and international travel, scheduling internal and external meetings, selecting and managing core workflow services, among other duties. Given the meaningful external facing aspect of the ventures team, and the cross-organizational focus of both the ventures and people teams, you will act as a liaison and representative across all three initiatives and across multiple functions, as well as social entrepreneurs and investors across education, criminal justice reform, and housing. You will * Schedule and calendar meetings across internal teams cross-initiative, as well as external stakeholders * Manage existing systems and creating new ones to keep the team organized including maintaining systems of communication, calendar scheduling, electronic and paper filing systems, prioritizing incoming information and requests, maintaining Salesforce CRM and other contact/correspondence records, administering other CZI administrative tools * Coordinate and manage travel, both domestic and international (including emerging markets) --securing vital meetings, preparing materials, arranging travel and visas, organizing logistics both in advance and with last minute changes * Managing expense reporting, tracking and processing consultant contracts and invoices * Partner with other executive assistants cross-functionally to improve organizational practices and processes, support event planning as appropriate. You have * 7+ years of Executive Assistant experience * Commitment to the Initiative's mission and focus * Excellent time management skills - ability to manage a great deal of information, tasks, and relationships * Strong interpersonal skills and ability to work with diverse groups of people, specifically the ability to form relationships without much direct face-time * Self-starter comfortable independently managing multiple projects and being resourceful * Patience, flexibility and adaptability - ability to react positively and quickly to last minute changes in logistics or needs * Strong writer and communicator * Responsible decision-maker with integrity and excellent judgment * Ability to work flexible hours as needed * Proficient in MS Office, especially Word, Excel and PowerPoint; experience with Google Apps and Salesforce CRM preferred Chan Zuckerberg Redwood City CA
