Position Summary

The Executive Assistant (EA) provides comprehensive administrative and project support to the Chief of Staff (COS), Associate Director (AD), and other members of the immediate Office of the Executive Director (OED). In this key utility-player role, the EA is responsible for managing calendars, providing project support, and coordinating a wide variety of activities using strong judgment, a sense of urgency, and attention to detail. The EA works closely with the Sr. Executive Assistant, serving as a main point of contact for mostly internal stakeholders and providing backup coverage as needed.

The EA must be collaborative and thrive in a dynamic, mission-driven environment. The ideal candidate will have solid administrative and organizational skills with the ability to successfully juggle multiple tasks and projects, ensuring accuracy, completeness, and follow-through.

Duties and Responsibilities

  • Provide comprehensive administrative and project support to the COS, AD, and other staff members of the OED, including calendar management support. Compile agendas and other meeting materials as needed and take notes in meetings focused on action items and decisional outcomes, as requested.

  • Based on the OED work plans, develop and share detailed project plans that identify target timelines, roles and responsibilities, and key milestones to guide the timely delivery of high-quality work across the various initiatives.

  • Deliver effective administrative and project support to the Board Operations Sr. Manager, liaising and communicating with external administrative staff as appropriate. Work closely with the Sr. EA, OED to provide meeting management support across various leadership teams. Coordinate meetings and AV, compile agenda items, send pre-read materials, etc.

  • Manage all business travel, and conference attendance for the COS and AD (support other staff as needed). Arrange flights, ground transportation, and accommodation. Compile and submit expense reports in a timely manner.

  • Create, compile, and edit materials (Word, Excel, PowerPoint) with special attention to formatting, consistency, and accuracy.

  • Provide support to the Sr. EA, OED in managing and maintaining the OED Sharepoint page and shared file locations.

  • In collaboration with the Sr. EA, OED, develop documentation to help standardize processes and clarify roles and responsibilities, as needed.

  • Provide backup support for the Executive Assistant, Office of the Executive Director, as needed

  • Manage special projects and other assigned duties.

Required Skills

  • Solid calendar management skills, including the coordination of managing team meetings and events.

  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Extraordinary time management skills.

  • Maintains confidentiality and exercises discretion and good judgment. Adept at maintaining composure and demonstrated flexibility and resourcefulness. Exceptional discretion, judgment, tact, and poise are required. Proven ability to handle confidential information, be adaptable to various competing demands, and succeed in a rapidly changing, fast-paced environment.

  • Adept at anticipating the COS' needs and finding the best solution by working collaboratively with the Sr. EA, and other staff at all levels across PCORI.

  • Excellent written and oral communication skills.

  • Clear and concise notetaker with the ability to capture action items, next steps and track deliverables to completion.

  • Handles matters expeditiously and proactively follows through on projects to successful completion, often with deadline pressures.

  • Ability to self-direct, take initiative, and complete assignments quickly and accurately.

  • Very strong interpersonal skills. Relationship builder who seeks team-oriented solutions, relates to people from diverse backgrounds, sectors, and experiences, and demonstrates emotional maturity.

  • Demonstrated proficiency in Microsoft Office (Outlook, Word, Excel, and Power Point), Teams SharePoint, and Adobe Acrobat.

Required Experience

  • 5-7+ years of solid administrative and project management experience, preferably working in a team support environment.

  • Bachelor's degree preferred.

  • Applicants with relevant experience working in health-related fields with an interest in public health are highly desired.

Compensation and Benefits

Salary Range: $71,048 - $85,258

The above range represents the salary range expected for the position; however, final offers are based on several factors such as the position's responsibilities; the candidate's experience, education, and skills; location; travel required; and current market conditions.

Subject to the terms and conditions of the applicable plans then in effect, eligible employees may participate in PCORI-sponsored medical, dental, vision, and basic life insurance plans for the employee and the employee's eligible dependents.
