The Executive Assistant I is responsible for overall support to the Chief Nursing Officer (CNO) as related to day-to-day operations of a large or complex department/office. Coordinates the administrative activities for the clinical, administrative, and academic department or departments for which the CNO is responsible.

Duties and Responsibilitie

  • Partners with management in the planning, scheduling, coordination and reporting of activities to ensure that projects, goals and objectives are accomplished on time and within budget.

  • Researches, locates and compiles information for reports. Assembles and categorizes figures for computation and calculations. Prepares statistical reports.

  • Monitors budgets and grant allocations, and maintains accruals. Prepares documents required to maintain balanced accounts for review and approval.

  • May maintain departmental employee files, and ensure compliance with regulatory standards. Initiates and follows through on human resources and payroll transactions. Generates weekly payroll submission. Maintains liaison with human resources and payroll to coordinate and resolve issues and problems.

  • May mentor, train and/or conduct orientation for new office support staff and monitor performance.

  • May coordinate administrative, secretarial and/or general office support coverage.

  • May assign work, set deadlines and supervise the work of assigned staff, and participate in performance appraisal process.

  • Assists in the planning and logistical arrangements for forums, conferences, seminars, meetings and/or visiting professorships. Assists in the development and coordination of informational packets for participants. Transcribes and distributes minutes.

  • Develops, updates and/or revises informational flyers, brochures, leaflets and mailings.

  • Checks materials submitted for supervisor's attention to ensure all relevant data, authorizations and pertinent information are included.

  • Ensures adequate restock of supplies for department. Takes inventory or examines merchandise to identify items to be reordered or replenished. Requisitions merchandise from supplier and collaborates with Purchasing to secure the best pricing for equipment and supplies. Tracks expiration of vendors' contracts and renews as needed.

  • Coordinates meetings and appointments, and maintains supervisor's calendar.

  • Makes travel arrangements and accommodations. Prepares travel reimbursements and expense reports.

  • Screens and prioritizes incoming mail for needed action and follow up. Responds to mail where appropriate or distributes mail requiring attention to appropriate individual(s).

  • Screens telephone calls, answers inquiries or directs caller to the appropriate individual for further information and/or resolution.

  • May assist supervisor with the completion of grant applications, special projects and Joint Commission and other survey preparations.

  • Performs other related duties.

Education Requirements

Bachelor's degree or equivalent combination of experience and education

Experience Requirements
5 years related administrative or business experience

To perform radiographic examinations on patients referred by physicians in accordance with Radiology protocols Duties and Responsibilities * Performs routine radiological procedures. * Applies the necessary technical judgment to obtain studies of an acceptable diagnostic quality according to written protocols and the patients' needs. * Assists, prepares and positions patients as required to perform radiological procedures * Provides patient education relevant to specific imaging procedures by informing the patient of the nature of the procedure, the area to be imaged and any specific instructions the patient may need. * Ensures all radiographic images are appropriately labeled as specified by the department SOP. * Demonstrates radiographically visible evidence of shielding in all instances where appropriate, especially pediatrics. * Employs radiation protection measures, to include collimation on all images, and follows departmental protocols to keep exposure of patients and hospital personnel to a minimum. * Ensures all images are appropriately labeled as specified by the department SOP. * Assists physician directly as required. * Evaluates radiographs for technical acceptability and ensures images are transmitted to PACS in a timely fashion. * Ensures Radiology room and equipment cleanliness, at the start and at the end of the shift, to include removal of soiled or dirty linen. * Maintains supplies and accessories in imaging room necessary to safely perform duties, as required. * Accurately records all required patient tracking information into IDX (Radiology Information System). * Schedules exams into IDX (Radiology Information System) as required. * Ensures that all studies performed are completed in IDX (Radiology Information System) in a timely fashion. * Calls for in-patients as required. * Performs related clerical duties in the absence of support personnel. * Informs supervisor or appropriate personnel of needed repairs to equipment or unsafe conditions. * Supervises radiology students assigned to his/her clinical area. * Prevents the spread of infection to self, patients, visitors, and other employees by adhering to infection control policies and protocol. * Attends in-services and other professional development meetings as required. * Maintains in good standing, licensure specific to job to include adherence to Article 35 of the Public Health Code.
