Summary:

The Executive Assistant will play a pivotal role in supporting the CEO & CFO providing support and assistance to their assigned executives. The Executive Assistant will create, build, and manage the day-to-day responsibilities. They will assist with managing daily appointments and schedule/calendar, correspondence, note taking, and communication with both overseas and domestic partners. They will help coordinate all travel arrangements and expenses. The Executive Assistant has delegated authority to perform work without specific instruction or prescribed procedures.

RESPONSIBILITIES:

  • Strategic Support: Collaborate closely with the CEO & CFO to formulate and execute strategic initiatives, ensuring alignment with overall company goals. This includes providing active support in different initiatives and overseeing projects from conception to completion.

  • Communication: Act as the central point of contact between the CEO & CPO and other senior leaders. Handle project escalations and ensure swift resolution. Ensures executive is prepared for meetings and/or presentations and is kept abreast of important information prior to any meetings/conference calls.

  • Project Management: Take the lead in coordinating key projects, ensuring their timely completion and successful implementation of strategic objectives.

  • Travel & Calendars: Assist the CEO & CFO with their daily calendars and travel plans. This also includes reconciling expense reports. Set up calendar invitations/meetings and manage calendars across overseas offices in different time zones. Manages executive's calendar and approves/declines meeting requests on behalf of the executive to ensure schedule is aligned to meet upcoming deadlines and/or priorities. Prioritizes meetings for executive to include the rescheduling and/or cancellation of other high-level meetings.

  • Executive Support: Provide comprehensive support to the CEO & CFO, meeting preparation, and handling confidential information discreetly. Facilitate the movement of projects, power point decks, ensuring seamless transitions and necessary escalations.

  • Cross-functional Collaboration: Foster collaboration and communication across various departments, ensuring that projects and initiatives align with the company's vision and goals. Manage escalations effectively, driving timely resolutions.

  • Operating cadence: Develop and implement operating mechanisms to drive alignment, accountability, and coordination across teams. Set agendas and drive follow-ups arising from weekly executive meetings, quarterly business reviews, etc. Ability to order product or place orders at CEO direction.

  • Receptionist Supervision: Trains, supervises and covers Receptionist Day to day duties which include greeting and escorting guests, general office maintenance oversight, stocking, and ordering supplies etc. Support as needed when Receptionist is out of office.

  • Uses independent judgement to respond on behalf of the executives, ensuring the confidential handling of information, correspondence, and communications, including incoming, outgoing, and electronic communications on behalf of executive.

  • Meet and greet visitors as well as fulfill visitors' needs.

Requirements/Qualifications:

  • Bachelor's degree in business administration, management, or a related field.

  • Previous experience (5+ years) as a C- Level Executive Assistant or similar role, preferably in a high-growth startup environment.

  • Demonstrated experience partnering with the C-Suite on various initiatives and deliverables.

  • Strong organizational and project management skills with a keen attention to detail.

  • Excellent communication and interpersonal skills, capable of building relationships at all levels.

  • Ability to thrive in a fast-paced, dynamic work environment.

  • Strategic mindset and the ability to think critically to contribute to decision-making processes.

  • Adept at travel arrangements, calendar management and Microsoft office (Power Point)

  • Tact and good judgment in confidential situations, and proven experience interacting with senior management.

Physical Demands And Work Environment:

  • Remain in stationary position for up to 8 hours throughout work shift.

  • Typing or repetitive motion is required of this role.

  • Be able to reach, bend, stoop and frequently lift to 50 pounds.
